1. To use the Trusts information systems appropriately in the outpatient physiotherapy department to record all referrals ensuring data accuracy with patient details, referrer details and referral dates highlighting any referrals which require urgent attention and investigating any discrepancies or missing information. 2. To ensure that clinic appointments are used effectively and efficiently with appropriate bookings made according to the type and urgency of treatment required. 3. To send any relevant paperwork or telephone patients informing them of an appointment time/changes and any other relevant information pertinent to their appointment. 4. Work with the iMSK admin hub to process iMSK referrals for health professional teams. 5. To undertake the full range of reception duties for the physiotherapy outpatient department. This will include assisting patients whilst checking in, out-coming appointments and rebooking appointments with the patient. 6. To deal with telephone enquiries regarding all physiotherapy outpatient appointments and to make appropriate changes/amendments using the Trusts information systems in line with departmental guidance. 7. Action daily reports that show appointment cancellations or require those that require rebooking in order to maximise clinic utilisation. 8. To advise patients of non-clinical information e.g., outpatient waiting times. 9. To update the waiting list records as required. 10. To prepare patient records for the physiotherapy department. 11. To be responsible for booking transport for patients and liaising with the transport services to ensure that patients arrival and return journeys are planned in conjunction with patient need and clinic requirements. 12. To file and archive clinical records 13. To run daily reports and any other ad hoc reports from the Trusts information system. 14. To be responsible, in cooperation with the senior physiotherapy staff for cancelling clinics in the event of unplanned absence adhering to department policies. 15.To discharge patients in line with the departmental policies and procedures. 16. To make changes to clinic templates as required 17. To collect, open and date stamp post for the department. 18. To undertake photocopying and other general clerical duties as required for the physiotherapy department. 19. To attend staff meetings and any other meetings as appropriate. 20. To liaise with GPs, medical staff, wards, physiotherapists, iMSK admin hub and colleagues as required. 21. To provide cover for other non-clinical roles within the department as required 22. To assist with ordering stationery and other office supplies. 23. To assist in running the physiotherapy equipment shop, ensuring efficient handling of cash in line with policies and procedures. 24. To assist in the process of patients and other parties accessing medical records. Ensuring that correspondence with solicitors and other communication is carried out in a timely manner in accordance with policies and procedures. 25. To maintain a safe working environment liaising with other departments and completing incident forms as required. 26. To prioritise workload and work without supervision when necessary.

Secretarial: To prepare and distribute documents by using the patient administration system (Systmone) and Microsoft office software (letters, memos, reports, discharge summaries, etc) ensuring that all policies and procedures are adhered to. To provide a telephone reception service and deal with telephone calls, correspondence and other internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary and to refer clinical matters to relevant members of the clinical team. Deal with outgoing and incoming correspondence, ensuring that incoming mail is distributed as quickly as possible. To organise and attend meetings as directed for the team, including hospitality, preparing reports, agendas, taking minutes/notes. Co-ordinate travel and accommodation arrangements. Record Keeping: To maintain a filing system and to record the movement of clients case notes according to Trust policies and procedures, ensuring that confidentiality of patient information is maintained at all times. To be responsible for responding to requests for patient records including tracking and reporting of activity to Trust HQ and the team manager in line with information governance procedures. To assist in carrying out a quarterly or annual audit of client case notes and act in accordance with the Data Protection Act. To ensure that all relevant paperwork is filed correctly in client files including scanning. Administration and Management of Resources: To be responsible for the day to day management of the office and the development, implementation and maintenance of office practices and procedures. To participate in local induction of new employees to the team. To collect and input statistical information using a spreadsheet, database or dedicated Patient information system ensuring that all information is readily available for presentation and use on a regular basis.. To monitor and maintain levels of materials and equipment necessary for the service provision including stationary and office equipment, prepare requisitions for authorisation, process delivery notes, and invoices and to ensure the secure storage and distribution of stationery requirements of the team within the laid down timescales. To have an understanding of health and safety regulation and assist in maintaining a safe environment for clients and visitors to the department in accordance with fire, health and safety procedures. Communication: To act as first point of liaison with all Partner Agencies, and professionals to ensure the smooth running of the team and sharing of relevant information in respect of patients. Develop good working relationships and practices with all prison and NHS staff and external agencies. To liaise with all professionals and ensure the smooth running of EOS and to develop good working practices and relationships within the team. To be knowledgeable and able to communicate effectively with patients/residents and being sensitive to their particular circumstances. To be responsible for ensuring a full and effective communication system exists throughout the department.

Contribute to the triaging of referrals for children and young people pursuing a diagnostic assessment for ASC and/or ADHD, often in the context of other suspected or diagnosed neurodevelopmental conditions, traumatic experiences, and emotional wellbeing and mental health difficulties Contribute to the maintenance of diagnostic assessment waitlists Carry out developmental history assessments directly with parents/carers, and create subsequent reports as part of the diagnostic assessment process Gather, analyse, report, and present information as part of the diagnostic assessment and report-writing process Support, and with training, lead on structured interviews and observation-based diagnostic assessments with a registered clinician Create post-diagnostic reports to include personalised recommendations With appropriate training, contribute to the delivery of cognitive assessments, and subsequent interpretation and report creation, under supervision from an HCPCregistered psychologist In line with service demands, co-facilitate psychoeducation and skills-based intervention groups for children and young people with a range of presentations, with a registered clinician Assess, plan, organise, and deliver goal-based brief interventions with children, young people, and parents/carers, in line with skills, training, and experience, as agreed with the supervising clinician, and in line with service demands and clinical governance Document and maintain accurate clinical records within the trusts electronic records system.
