The Transpennine Route Upgrade (TRU) aims to deliver faster, longer, more frequent, and more reliable services across the north of England, from Newcastle, Hull and York towards Manchester and Liverpool via Leeds.
The aim of the TRU East Alliance is to transform the East of Leeds route allowing people to travel faster, more reliably and in greater comfort between the North’s great cities. Providing passengers with more choice, more seats, and better facilities on a safer, cleaner, more environmentally friendly railway
The Senior Administrator provides high level support to the Alliance Manager and the Alliance Management Team (AMT) within the TRU East of Leeds Alliance. Working within a team environment this role is pivotal, providing high quality office management, facilities, organisational and administrative support..The role may be required to take on several ad-hoc projects as the Alliance develops.
Who we are looking for
- Ensure that appropriate alliancing behaviours and ‘best for project’ approaches are always adopted, leading by example in the pursuit of successful delivery of the Programme to the benefit of all Alliance Members.
- Office management duties at the Meridian House office in York including but not limited to; coordinating the facial recognition sign in access and equipment, managing internal meeting room bookings, ordering stationary, printer and other general office supplies, maintaining an up-to-date local distribution list, displaying posters and other communications around the office, liaising with the SHES team to manage the presence of first aiders and fire marshals, arranging deliveries, procuring items as required, acting as a point of contact for external contractors (e.g. coordinating installation of IT equipment).
- Liaising with the in-house facilities team at the Meridian House office in York, raising any facilities related issues and monitoring resolutions.
- Distributing building passes, monitoring completion of the online office induction prior to issuing.
- Liaising with the People Team regarding elements of localised onboarding and offboarding as required, ensuring the latest processes are actively followed.Liaising with Office & Facilities Managers across all locations regarding processes and policies that must align across the whole Alliance.
- Supporting the social committee with localised events and activities taking place in the Meridian House office in York.
- Minute taking support as required for the AMT and following up actions from meetings as directed using the Asite system.
- Providing admin support to the AMT as requested including but not limited to; printing, copying, Word processing, formatting into Visio or PowerPoint presentations, pulling together packs for meetings/presentations/events etc.
- Maintain electronic filing via Asite, ProjectWise and any other relevant systems, and document approval via DocuSign.
- Undertake any other general support or reasonable duties required by the AMT in line with the needs of the project and the wider TRU East programme.
Who we are looking for
- Experience in a similar role on a collaborative projects with multiple companies desired.
- Excellent communication and interpersonal skills.
- High level literacy and IT skills, with proven ability to expertly use a range of relevant software especially Microsoft Office applications (Excel, Word, PowerPoint, and Outlook).
- Ability to work independently and as part of a team.
- Attention to detail and personal resilience and ability to respond positively to pressure.
- Ability to prioritise and manage a diverse workload.
