Job Description:

The Corporate Security Coordinator (CSC) will assist our Corporate Security Partners (CSPs) at the campuses or remotely. The CSC is expected to be available outside of scheduled hours, including weekends and holidays, based on emergencies or uncommon incidents.

Responsibilities:

The CSC works in conjunction with the CSP/CSM to facilitate a safe and secure environment

employees and visitors.

Typical roles and responsibilities of the CSC:

• Support campus operations

• Act as the Directly Responsible Individual (DRI) on assigned projects/tasks
• Work with the security team to develop and update Post Orders (POs) and Standard Operating Procedures (SOPs)
• Conduct site-related investigations including video review
• Work in partnership with Facilities, GSOC, as well as other Global Security members

i. Demonstrate the professionalism and capability to represent the CSP at high level

meetings and undertake initiatives, acting as the DRI on their behalf when requested

ii Manage threat intelligence and analysis activities including required escalations to

management and crisis management teams

Iii Meet regularly with Facilities personnel as well as Business Unit (BU) Leadership.

Building working relationships with both these entities is important to ensure open lines of
communication in order to ensure safety and security concerns are addressed.
• Proactively forecast and communicate potential issues and concerns:

i. Understanding the short-term and long-term impact of modifying security personnel and/or
security devices

ii. Impact of unexpected hazards or disasters (natural or human-made)

iii Tracking of schedules related to:

- Building Construction

- Building maintenance

- Work/Time off

iv. Ensure the accurate and timely recommendations of business and security related risks or
actions with a focus on details
• Provide support in the following areas:

- Deployment

- Events

- SOR Audits

• Any other duties as assigned

Additional Note:

Based on location, the CSC may work with a deployment team staffed by a vendor that is different than the CSC’s employer. Given this, the CSC should not provide direction directly to the deployment team. Only the CSP/CSM will provide direction. Vendors do not manage other vendors.

CSCs can and should communicate with the security team to provide guidance within the rules, regulations, and SOPs that are already in place as well as maintaining an open line of communication with the security deployment.

Job Role

• Meeting with clients to discuss security issues
• Conduct Monthly Operations Meetings with Clients
• Respond to client queries
• Responsible and accountable for effectively managing the day-to-day operations / allocated contract sites and staff by providing the highest quality, compliant, and professional security service to its customers
• Planning and approving security officers’ work schedules to suit operational needs.
• Overall in charge of the day-to-day operations of security personnel at the allocated sites
• Responding to emergencies and urgent duties 24/7.
• Putting up and submitting various reports using Microsoft Office/Google and in-house software.
• Conduct security and safety risk assessment surveys of the assignments
• Conduct investigations and vet incident reports submitted by the security team and prepare to conduct AAR of the incident.
• Conduct OJT training for new hires
• Reviewing worksite SOP to ensure it remains relevant to the current operations.
• Handle workplace investigation, grievance, and discipline
• Plan and schedule training for security personnel in alignment with G4S, PLRD & PWM requirement
• Plan and conduct periodic exercises to ensure the vigilance of security personnel
• Assist with recruitment and selection of security personnel
• Manage and review security procedures

Job Requirements

• A Diploma in Security or equivalent discipline service Qualification is essential. Applicants with PLRD SSS will have an advantage
• At least 5 years of hands-on experience in operational management or disciplined services or commercial security experience
• Applicants must possess initiative and have demonstrated ability to work independently and be able to manage a team of at least 50 security officers at multiple customer locations
• Applicants with financial, commercial, and legal knowledge will be advantageous
• Ability to communicate effectively in English, both verbal and written
• Proficient in computer skills
• Other attributes include good interpersonal skills, a service-oriented mindset.
• Possess a car with a Class 3C Driving Licence

Responsibilities:

• Process daily, weekly & monthly payroll, ensuring all payroll is processed accurately and on time.
• Ensure payments are in accordance with Employment Law & all the regulatory guidelines.
• Submission of tax clearance, yearly Income Tax, CPF, and NS make-up claims.
• Prepare monthly payroll reports & salary reconciliation.
• Provides payroll information by answering questions and requests from internal stakeholders/staff and resolving payroll discrepancies
• Other duties as assigned by the superior.

Requirements:

• Meticulous, proactive, committed and self-demotivated
• Good team player who can work independently in a fast-paced environment
• Customer service oriented, good communication & interpersonal skills
• Proficiency in MS Word & Excel spreadsheet skills. Knowledge of Timesoft will be an advantage
• Knowledge of the Employment legislation preferred
• Minimum of 2-3 years experience in payroll related field

Documentation and Monitoring

Daily

1. Update attendance records based on biometric records in clients’ databases
2. Scanning and compiling of Night Patrol Officer (NPO) reports on their respective project folders
3. Updating the NPO visit summary
4. Keep track and reminders on meeting schedule for the next working day
5. Collate and record the dates of the officers’ vaccination certificates for proper monitoring

Weekly

1. Manpower tracking for operations to keep track of shortfall
2. Sending out NPO reports to clients
3. Update of supporting, relief, and ad hoc officers listing accordingly to the Line Manager in charge and share this file to respective departments

Monthly

1. Monthly Safety Walk & Talk (SWAT) & ToolBox Talk (TBT) coordination and submission
2. Fixed assets tracking for Operations
3. Track, consolidate, and upload client’s minutes of meetings into individual site project folder
4. Coordinate and prepare sites’ documents to be archived or stored for ongoing and ended contracts
5. Prepare biometric attendance reports for submission to clients
6. Zero wages (finance document) coordination with operations in charge to identify officers that are no longer being deployed
7. To follow up and update the tracker on the above 60-year-old medical checkups aggressively

Billing

1. Monthly billing preparation to be sent to the client for approval before sending invoice
2. Assist with any other billing requirements that need information from Operations

General Administrative Work

1. Recording any Minutes of the Meeting (MOM) chaired by the Head of Operations
2. Raise iTop tickets for all Operations-issued IT equipment
3. Preparation and update of organization chart, site contact list, incident flowchart, etc
4. Preparation of purchase orders for operations and recruitment for all items required on-site
5. Assist officers (if needed) with online license renewal, keep track and monitor monthly licence expired list which is provided by HR
6. Assist to key in leaves in the HR system if needed (E-leaves will remain the default procedure in applying leaves)
7. Bi-weekly Operations meeting coordination
8. Keeping track of inventory and ordering supplies
9. Assist in recovery equipment or beyond economical repair (End of assignment contract)
10. File all correspondences between departments, sites, and clients
11. Perform any other duties assigned by:

a. G4S Dy Head Operations

b. G4S Head Operations

Key Responsibilities / Accountabilities:

• Partner with hiring managers on end-to-end recruitment
• Perform full recruitment cycle from job posting to candidate's assessment to performing interviews and offer management
• Proactively source and attract high-quality candidates using a range of different hiring strategies, sourcing and searching on various job portals
• Screen and conduct assessment of potential candidates
• Maintain relationships with both internal and external clients to ensure staffing goals are achieved on time
• Performing reference and background checks
• Develop and maintain talent pools for current and future requirements
• Provide analytical recruiting reports
• Assist in work pass application, renewal, cancellation, etc..

Requirements:

• University graduate, preferably in HR management or other relevant disciplines
• Those with experience in conducting mass recruitment will have an added advantage
• Similar experience working with a security company as a recruiter is a plus.

• Team player, proactive, and resourceful. Display resilience and ability to work in a fast-paced environment
