Key Responsibilities

• Support events project team including conferences, exhibitions, virtual events and other ad hoc meetings.
• Running virtual events and webinars, platform set up, speaker liaison, and live stream coordination including chasing speakers recording & webinar materials, designer and editor, prepping speaker onboarding, conduct tech checks and rehearsals, webinar show calling etc.

• conference programmes run smoothly.
• Arrange travel and accommodation for staff and speakers within a pre-set budget.
• Respond quickly and calmly to requests from speakers, sponsors, overseas partners and exhibitors pre-event and onsite.
• Manage suppliers and orders for all event signage, AV, venue, catering, printings, sponsored items etc.
• Manage the costs, prepare and report event budgets including raising purchase orders,
• obtaining final costs and signing off invoices with approval.
• Develop a thorough understanding of health & safety principles and ensuring all parties are in compliance.
• Assist the Operations team with any other ad hoc tasks as required. Includes ad hoc
• administration tasks as required by Head of Operations.
• Work as part of a team delivering the operations for medium/ large conferences and
• Exhibitions.
• Available to travel in APAC.

The Role

In this unique role, you will be the “front-face” for all conference delegates. You will sell attendee tickets as part of your key KPI. This role will require an understanding of content, basic industry knowledge of the healthcare sector and direct selling skills to acquire paying attendees to the event.

This is your chance to take ownership of a campaign to drive attendance to the event and make a major strategic contribution to the team.

A brand new event launch

Currently the healthcare team runs a flagship brand, Hospital Management Asia (HMA). HMA helps hospital owners, C-level executives, directors, clinicians and healthcare leaders improve outcomes and becoming increasingly efficient through the delivery of online content, digital activations, bespoke webinars and an annual flagship event that attracts over 1,500 attendees. With a track record of more than 22 years, HMA has grown into a 28,000 strong community across Asia Pacific.

It also has a digital product which offers newsletters, interview advertorials, bespoke webinars and in-person, in-country sessions such as workshops and roundtables depending on the need of a customer.

In 2025, a new brand will be launched to connect innovators and technology firms with Asia’s healthcare providers.

The Candidate:

Reporting to ­­­the Project Director, the successful candidate will be responsible to sell sponsorship and exhibition stands for both above-mentioned events, as well as sell digital offerings.

Key Responsibilities:

• Introduce HMA and our C-suite community to new customers
• Develop a strong understanding of HMA’s capabilities and offer customers the right solutions based on their needs and requirements
• Write proposals to prospective customers
• Develop then manage key accounts for long term success
• Build new accounts to create new revenue opportunities from untapped segments/markets
• Visits to relevant local and international trade events
• Be up-to-date on the technology and hospital management developments
• Proactive and consistent activities to hit and exceed sales target
• Diligent use of Salesforce CRMs and other workflow tools for sales analytics and administration
• Participate and contribute to internal sales meetings

Knowledge and Experience:

• Degree holder

Role Overview:

We are seeking a motivated and detail-oriented project executive to assist our conference production team. The ideal candidate will be a team player who is proactive, highly organised, and eager to learn about event management in a professional setting.

Responsibilities:

• Support end to end conference production, including research, copywriting, identifying and acquiring high profile international speakers
• Aid in speaker communication, follow-up correspondence and general speakers liaising activities
• A team player who is able to work in a cross functional team to collaborate with colleagues of different functions, including sales, marketing and operation to ensure a smooth planning
• Opportunity to travel overseas to support conference onsite during event days

Qualifications:

• Current enrolment in a related degree or diploma programme (Hospitality, Event Management, Marketing, Communications, etc.), preferably a final year student who is open to explore a full time opportunity after internship.
• Strong organisational skills with the ability to multitask and prioritise in a fast-paced environment.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software (e.g., Eventbrite, Cvent) is a plus.
• Enthusiastic, humble and willing to take on new challenges, with a proactive and problem-solving attitude.
• Availability to work flexible hours, including evenings and weekends as needed during event periods.
