SUMMARY:

The Deans Communications Specialist is a creative, exceptional writer who will craft clear and compelling communications for the for senior leadership of the Division of Biology and Medicine, including but not limited to the Dean of Medicine and Biological Sciences, Senior Associate Deans, and the Chief Wellness Officer. The incumbent will work closely with the Division’s senior leaders to create content that reflects the voice, messages, and communications strategy of each dean and supports the overall goals of providing clear, transparent communications for all audiences. These audiences include students, faculty, alumni, parents, staff and the community at large, to name but a few. The incumbent will successfully adjust communications based on audience and will ensure all communications are accurate, informative, and reflective of the tone and style of the Division and Biology and Medicine.

This position works closely with the Dean’s Chief of Staff and reports to the Assistant Dean of Biomedical Communications. Both will provide the day-to-day direction and support for the Communications Specialist. The incumbent will also work closely with Divisional senior leaders to ensure alignment with their personal communications styles and goals.

QUALIFICATIONS:

Education and Experience

• Bachelor's degree in communications, journalism, professional writing, public affairs or a related field, or combination of education and experience.

• 3-5 years of experience in communications or a related field.

• Background working in the context of a research university strongly preferred.

Job Description:

The Director of Development for the Brown University Sports Foundation (Annual Fund & Operations) is responsible for the planning, implementation, and management of a comprehensive annual fund program as well as overseeing the entirety of the operations, including programming, marketing and communications, on behalf of the BUSF to assure the program’s continuing role as an Ivy League leader in Athletics fundraising. 

The Director of Development will oversee the $5M+ BUSF annual fund program including planning, pipeline development, marketing, messaging, hyper-giving days, and the overall strategy and execution for the program. This BUSF annual fund program is critical to the success of the overall $50M+ Brown Annual Fund on an annual basis and the Director provides crucial leadership and support, both directly and through the management of BUSF annual fund staff, to the Division of Advancement as a partner, collaborator and key stakeholder in the overall annual process to support the necessary outcome for the Division.

The Director will also be individually responsible for raising $1 million or more annually as plan manager and/or primary solicitor. The Director’s individual portfolio will include active, major gift prospects with a rated capacity of $100,000 or more. The candidate must have the ability to work with a diverse range of constituents including donors, trustees, and volunteers, and demonstrate a capacity to exceed major fundraising goals in close collaboration with the Executive/Senior Director as well Advancement leadership and all prospect managers across the Division of Advancement. The Director will also maintain oversight of 4 varsity and/or premiere club programs (this number may be adjusted depending upon size/complexity of sports) which Brown is seeking to support through annual, endowment and capital support. Through this work, the Director is charged with increasing the number of leadership and major gift donors across these programs by developing and implementing strategies that will maximize donor engagement and philanthropy.

Through direct management, the Director will provide strategic oversight for at least three subordinates with the following responsibilities: 1. marketing, communications, and fundraising for Brown’s $5M+ annual use fundraising program; 2. operations specific to budget, data compilation, reporting & stewardship; 3. leadership support of all annual fundraising for all athletics priorities; 4. All BUSF engagement programs and events including related strategy, planning, budget and execution. The Director will be responsible for connecting these direct reports to Brown’s overall fundraising missions and values and with that charge, will lead and mentor these BUSF staff members to help foster deep collaborations across the Division of Advancement while ensuring a close working relationship between programs and fundraising teams. The Director will measure success not only through the total dollars raised on an annual basis, but also through the activities and programming successes that are necessary to achieve the overall fundraising goals. The Director will engage as a thought partner for the staff they lead and set an example as a manager of collaboration, teamwork, collegiality, empathy, professionalism and accountability. 

The Director is responsible for leading strategic development of events and marketing specific to Athletics for the broader Brown community on behalf of Advancement. They are tasked with developing focused high-level activities, broad-based engagement opportunities, and strategic marketing and communications that support annual, major, and principal gift work as well as broad alumni engagement. Related, the Director provides content from Athletics that supports prospect awareness, advances cultivation, and improves BUSF stewardship efforts. Expectations include close collaboration with, among others, the Associate Vice President for Advancement Communications and the Senior Director for Communications and Marketing, to plan and implement all Athletics campaign messaging related to capital projects, endowment campaigns and the annual fund. The Director will have oversight of the broad-based communication strategy for the Brown Athletics community as it relates to Advancement. 

The Director provides oversight for all BUSF administration of budget and business practices to create the highest level of efficiency and financial responsibility possible within the organization. The Director will be tasked with focusing on accuracy, accountability and efficiency within all budget and business practices to maximize the efficacy of the BUSF annually.

Education and Experience

Job Description:

The Project Manager is a member of the Finance & Administrative Services team within the University, reporting directly to the Director of the Internal Consulting Group. The Project Manager will work with business units across the Executive Vice President for Finance and Administration’s office to create a holistic inventory of all active projects and projects in queue within each unit including associated timelines, costs, and the units’ sense of priority. The full project list will be reviewed and updated routinely with the EVP’s leadership group for prioritization and feedback. The Project Manager will manage prioritized projects, for units that don’t have support or that need additional support, including scoping and building business requirements, constructing and monitoring project plans, raising and resolving issues, and bringing identified projects to an operationalized state.

Job Description:

The Director, Doctoring Program will serve as a senior leader within the Office of Medical Education (OME) at the Warren Alpert Medical School (AMS) of Brown University and oversee the administration and execution of the Doctoring Program. This includes the development, implementation, and continuous quality improvement efforts of the foundational clinical skills curriculum including all Doctoring courses and the Clinical Skills Clerkship (CSC). The Director will work closely with the Assistant Dean of Medical Education / Director of the Clinical Curriculum to ensure collaboration between the foundational clinical skills curriculum, clinical experiences such as clerkships, sub-internships, and clinical electives, and the transition to residency (TTR) curriculum. The Director will collaborate closely with other senior leaders including the Associate and Assistant Deans of Medical Education and Student Affairs to develop, maintain, and evaluate clinical skills programming; support student success; incorporate integrated curricular components from across various courses at AMS; and participate in relevant administrative and curricular committees to further the clinical skills mission across AMS.

This is a part-time, 25 hours per week, 67% FTE position.

Job Qualifications

• MD/DO or MD/PhD degree

Job Description:

Reporting to the Assistant Vice President for Employee and Labor Relations (AVP), the Director of Labor Relations (Director) provides proactive advice, guidance, and recommendations for appropriate courses of action that arise out of various employment situations involving employees who are members of a collective bargaining unit and other labor-management matters to ensure that departmental priorities are accomplished.

The Director will be critical to developing, growing, and sustaining strong partnerships between UHR and the Administrative and Academic departments and bargaining units throughout the University. The Director will collaborate and influence a diverse group of departments and division leaders, fully understand their strategies, goals, and expectations, and provide thoughtful leadership and guidance on various labor relations matters to increase organizational effectiveness. The Director will also ensure alignment within UHR in managing services and processes that involve unionized employees or their managers and in delivering services and information to the University community. Likewise, they will advance the broader understanding of the relationship between effective HR management and University business functions. The Director will provide managerial oversight for the following roles within Labor Relations:

• Assistant Director for Labor Relations

• Labor Relations Data Specialist

In addition, in collaboration with the AVP, the Director will be responsible for the implementation and day-to-day administration of the University’s collective bargaining agreements for unionized employee, including graduate and undergraduate student employees.

The Director and Labor Relations will collaborate with the Office of General Counsel (OGC) and other units on related legal matters and will ensure the smooth administration of employee and student grievance and arbitration processes. This position will also work closely with UHR’s Director of Talent Acquisition and other campus partners to help create and sustain an effective student employment model that holistically supports and promotes positive experiences and outcomes for our students (unionized and non-unionized) at Brown.

Major Responsibilities:

• In collaboration with the AVP, implement and administer the University’s labor relations program for all unions at Brown, to include but not limited to, unions that serve graduate and undergraduate student employees.
• Support the AVP in planning, organizing, and leading negotiations for successor bargaining agreements, including analysis of benchmarking data and preparation of collective bargaining proposals.
• Provide expert advice and support to management and staff on labor relations matters in accordance with established Brown policies and procedures, legislative requirements, and existing collective bargaining agreements.
• Advise client departments in identifying, evaluating, and resolving human resource management issues and disciplinary actions with unionized employees; assist in issue resolution and provide consistent interpretation and application of HR best practices, Brown policies, collective bargaining rules, and employment laws so that managers and supervisors are equipped to effectively supervise unionized employees.
• Support the AVP in overseeing contractual grievance procedures including counseling department heads and/or designees at steps one and two of the contractual grievance process. Serve as the step three grievance officer, and as the first and second chair for arbitration matters.
• Provide coaching and counseling to managers and staff to effectively address disciplinary matters among unionized workers. Discuss potential options and assist with risks and rewards of various actions with supervisors and the AVP. Intervene with managers/supervisors when necessary concerning problems that adversely affect employee morale and productivity. Guide supervisors in writing performance improvement plans, probation extensions, disciplinary actions, and fair and balanced performance appraisals when necessary. Advise on and/or negotiate severance and outplacement services for employment separations. Respond to informal and formal grievances from union employees and offer resolution to supervisors and managers following timely investigations of concerns. Lead HR investigations of unionized employees in a thorough, timely, and impartial manner. Take steps to mitigate the influence of bias in HR and operational decisions. Develop strategies and put measures in place to identify, manage, and minimize risks/liability to university (e.g., legal, financial, health, safety, etc.). Identify solutions that address potential risk and provide recommendations on mitigation strategy. Apply critical thinking to information received from clients and evaluate courses of action for risk.
• Understand the institutional operations, functions, and external environmental factors to support the University’s mission and values by working in close partnership with managers, department heads, bargaining units, and union representatives. Identify opportunities for the design, analysis, and evaluation of change initiatives and build ongoing support for UHR solutions that meet operational needs among unionized units.
• Collect and analyze qualitative and quantitative data to interpret and promote findings that evaluate HR initiatives and inform organization decisions and recommendations among unionized workforces. Lead and/or participate in organizational assessment and planning. In collaboration with the OGC, provide consultation to supervisors to implement employment actions resulting from restructuring, reclassification, compensation, and reductions in force/position. Support managers and staff to improve performance management goals. Partner with UHR colleagues and leaders to implement best practices that address employee and labor relations matters.
• Support the AVP in representing the University and preparing position statements regarding employment-related charges filed through federal or state agencies as appropriate.
• Review documents in support of operational decisions to restructure or reorganize departments that mitigate legal risk to the University. Collaborate with UHR departments to conduct timely analysis of staffing, compensation, or benefits data and communicate decisions to department supervisors.
• Participate in special projects such as HR system implementations, HR reporting on labor matters, systems testing, or other similar functions.
• Provide primary assistance to the AVP on project work or ongoing needs in areas such as: testing, designing, communicating, and training new users on labor relations software systems; identify needs and delivering appropriate labor-relations training programs for new and existing employees and supervisors; participate in collective bargaining negotiations, mediations or arbitrations; support investigations of EEO/Title IX complaints at the direction of the Office of Equity and Institutional Diversity.
• As required, serve as the backup to the AVP, for the University’s Labor Strategy Council.
• Perform special projects and support the establishment and maintenance of labor-relations data as needed.

Required Qualifications

• Bachelor’s degree from an accredited institution/college and a minimum of seven years’ professional-level labor relations experience

• Demonstrated proficiency in communication, conflict resolution, analysis and planning, creative problem solving, and consultation

The Associate Director of Gift Compliance (“the AD”) contributes to Brown’s Advancement efforts by enabling and guiding fundraising staff through the process of developing, processing, and finalizing donor gift documentation. As a subject matter expert and service provider, the AD prioritizes instruction and efficient service for both staff and donors. Knowledge and application of federal laws, state regulations, and University policies is essential and the AD seeks to reflect these appropriately in written gift documentation. Interacting with Divisional and University leadership to put forward key fundraising milestones for Corporation approval is a recurring and vital part of the AD’s role. They also manage the team responsible for gift documentation services and in that capacity provide regular, routine training opportunities to promote broad knowledge and understanding amongst fundraising staff. Brown University, in collaboration with Care New England and Lifespan, two local, academic health system affiliates, established the Brown Innovation and Research Collaborative for Health (BIRCH) in October 2022 through the execution of the Aligned Research Collaboration Agreement. BIRCH, is a Brown-based team of research professionals, services and support structures that will manage the collective portfolio of the Brown University Division of Biology and Medicine, Care New England, and Lifespan, representing over $200M in research (FY23). As a strategic priority of the University, establishing, operationalizing, and managing BIRCH is a high-visibility and extremely complex University-wide initiative.

Reporting directly to the Chief Administrative Officer, the Director will manage the workload of eight FTEs in the BIRCH Finance Office and will closely collaborate on the management of a dedicated post-award team, including an Assistant Director, in the Office of Sponsored Projects; the post-award team handles financial compliance and cash management for the BIRCH portfolio.  The Director is responsible for the financial management of BIRCH and overseeing and reporting on the impact to all three organizations, over time. Annually, the Director prepares the BIRCH operational budget, and periodically performs reconciliations and projections for the ongoing financial performance of BIRCH. The team of eight support department-based grants management teams with financial oversight reporting, and research compliance expertise.

Leveraging their skillset and expertise, the Director independently leads projects supporting cross-functional teams within BIRCH including the Animal Care Office, Research Infrastructure Office, Clinical Research Office, and the Office of Innovation and Support. The Director also partners with Finance leaders outside of BIRCH, (including the Controller’s Office, Treasury, the Office of Financial Strategy and Planning, BioMed Finance, BioMed Planning and Analytics, and the Workday Team), and hospital-based finance offices external to Brown. For any projects assigned, the Director works with the functional owner(s) to develop an agreed-upon scope of work, project plan, and timeline for deliverables.  The Director partners with project stakeholders on critical strategic / financial questions that require thoughtful problem-structuring and analytic capability, and developing an understanding of the operating challenges faced by departments, as well as preparing ad-hoc financial and accounting analysis as requested.  The expectation is that each project assigned is delivered in a timely manner and consistent with the prescribed scope.

The Director will work closely with the Chief Financial Officers and their leadership teams across all three organizations. The Director will also support the Chair of the BIRCH Finance Committee (currently the Brown CFO) supporting and implementing the Finance Committee BIRCH goals and strategic priorities. The Director works closely with internal and external finance leaders to establish priorities to advance BIRCH financial planning processes and the services provided to the research community, while ensuring the budget and supporting processes support the BIRCH missions and priorities.

• Bachelor’s degree required; Master’s degree in business or finance or a related field and/or other professional certifications in business preferred.

• A minimum of 10 years of experience in research finance, budgeting and/or financial management, ideally in a university, academic medical center, or hospital environment. The Fairbrother Laboratory is seeking a Research Assistant with experience in molecular and cell biology techniques. This candidate will assist with maintaining cell lines and reagents, perform transfections, PCR, western blotting, and protein and DNA extractions. In addition, the Research Assistant will be responsible for preparing equipment and supplies so that experiments in the laboratory can be carried out successfully. The Fairbrother Laboratory uses a combination of computational biology and high throughput genomics techniques to identify functional elements in the genome. We seek to understand recognition events important in gene expression (i.e transcription and RNA splicing). Some specific projects include 1) understanding how particular arrangements of sequence elements are read by the splicing machinery, 2) identifying mutations/polymorphisms that disrupt splicing in the human population.

Responsibilities

We seek a Grants and Financial Specialist to independently manage all financial and administrative matters pertaining to sponsored research for the Carney Institute for Brain Science. The Grants and Financial Specialist has financial oversight and administrative responsibility for sponsored projects. This position provides high-level comprehensive pre- and post- award management, subcontract administration, and financial analysis.  This position is Carney’s primary administrative liaison to the Office of Sponsored Projects (OSP), collaborating institutions, sponsoring agencies and principal investigators (PIs).  The Specialist has a broad scope of responsibilities and is knowledgeable of research administration, including financial matters.

The Specialist independently manages a complex grant submission and management portfolio, including the following primary responsibilities:

• Preparing grant budgets and submitting grant proposals through Brown’s grants management system and sponsor submission portals;
• Collaborating with Carney leadership and PIs to develop and prepare grant and contract proposals
• Providing post-award grants management support, including managing effort, tracking expenditures, and providing financial reports to PIs, Institute leadership, and sponsors;
• Providing general financial support to the Institute, including Workday administration, serving as backup to other administrative staff.

This Specialist is a trusted member of a collaborative administrative team working towards Institute goals and priorities. The incumbent will network with other grants management professionals across Brown to foster collaboration and to keep abreast of best practices and new regulations. This position handles confidential information and is expected to maintain and secure privacy.

Qualifications

Education and Experience

• Bachelor’s degree with 2-4 years of experience in research administration, accounting, financial management, and/or budgeting, or equivalent combination of education and experience.
• Experience with grant proposal preparation and/or using proposal submission systems preferred.  
• Experience with Workday or similar financial management systems preferred.
• Familiarity with eRA Commons, NSF Fastlane, Research.gov and/or Grants.gov preferred.  
• Higher-Education or non-profit work experience preferred.

Job Competencies

• Excellent financial analysis, math, and accounting skills.
• Highly proficient in Microsoft Office Programs (Word, Excel, PowerPoint), Web based programs and tools, Gmail and related Google applications, and other systems.
• Excellent communication skills (both oral and written) to elicit and disperse information; to present information (including data) and communications in a clear and concise manner.

About the Department

The Office of Research Strategy and Development provides research leadership and guidance by building research capacity and enabling federal funding for research at Brown as articulated in the Operational Plan for Growing the Research Enterprise at Brown, and the work outlined by the major research units to pursue the plan. The group accomplishes this by working with the Vice President for Research and other Brown leaders to develop and support the university’s research priorities; strengthening internal and external research networks, processes, skills and knowledge to continuously grow capacity for research excellence at Brown; and by increasing external research funding to enable world class research at Brown. 

About the Opportunity

The Project Manager is responsible for successfully developing and submitting the administrative components of complex proposals for priority funding agencies as a member of the Office of Research Strategy and Development in efforts to advance Brown’s strategic plan to grow its research enterprise. 

Reporting to the Associate Director, Research Strategy Development, ORSD, the Project Manager will advise, consult and guide the project management of the administrative processes for mid-large scale, complex research projects across the university. Under the guidance of and in collaboration with the strategic lead on a proposal (an ORSD staff member), the incumbent will work closely with faculty and staff stakeholders in defining the scope, schedule, charter and budget for projects. They will also be expected to work with teams to identify and organize priorities and establish processes and contribute to the ongoing operations as well as develop and document processes and procedures. The incumbent will be expected to approach the work proactively and in an independent manner.

Responsibilities

Project/Proposal Planning and Initiation

• Collaborate with stakeholders to projects that meet the requirements to be included in the scope of the position's efforts. Determine which projects/proposals are in line with areas designated for growth through the strategic efforts of the Provost and VPR.
• Collaborate with all relevant stakeholders in the definition of project scope and objectives
• Support center proposals, instrumentation proposals, and interdisciplinary strategic proposals that are aligned with the Brown University’s research priorities
• Onboard teams: ensure faculty and their staff have the information needed to participate in ORSD-lead projects
• Articulate large-scale, complex projects into detailed project documentation (charters), identifying structured phases and sprints to prioritize speed, improvements and enhancements

Project/Proposal Management

• Formally manage changes to the project scope, schedule and budget
• Formally identify and manage project risk, reporting and escalating issues to project lead and/or Senior Director Research Strategy and Development as needed
• Monitor and track progress of projects, reporting on performance using appropriate tools and techniques
• Manage project resources, make adjustments and improvements to project delivery to address constraints
• Manage document sharing processes
• Provide concise status reports on active projects to ORSD team and key stakeholders
• Coach, guide, and motivate others to move a project forward and deliver a positive outcome.
• Ensure that all projects are delivered on-time and within scope; provide lessons learned and recommend improvements to ORSD leadership

Training and Resource Development

• Support the Office of Research Strategy and Development in developing and refining project management methodology, tools, practices, and training materials.
• Research tools, practices, and methods for successful project management, and advise the Senior Director Research Strategy and Development and senior leadership on University-level strategies and resources for project management.
• Establish project management templates specific to Brown

Qualifications

Education and Experience

• Required: Bachelor's degree or equivalent combination of education and experience.
• 3-5 years’ experience leading complex project management, preferably in an academic/ research environment
• Demonstrated knowledge of or experience working with federal funding agencies is required; an understanding of the mission-driven federal agencies preferred.
• Project Management Professional (PMP) preferred
• Proven working experience in a variety of project management concepts, practices and procedures in an education or start up environment.
• Excellent written and verbal communication skills, including ability to make effective presentations
• Solid organizational skills including attention to detail and multitasking skills
• Strong planning skills applied using Smartsheets and other relevant software
• Ability to work independently, coordinating and prioritizing multiple projects
• Demonstrated commitment to diversity, equity and inclusion
