Brandeis University seeks to hire an Assistant Director to be part of the University Events team and to oversee event operations.  This role not only supports individual events but also oversees other event managers and departmental operations.  Oversight and individual events services include but are not limited to arranging for appropriate catering, audio visual, and room set ups as well as communication with the client regarding pricing and status of an event. This position will coordinate with support services across campus to ensure all event details are addressed and completed to the client's satisfaction. This includes support services such as facility Services, Public Safety and Media Technology Services.  Finally, this position will monitor budgets for large events and the operations team. They will be responsible for coordinating across internal departments, and maintaining vendor relationships.

Examples of Key Responsibilities:

• Responsible, in partnership with dining services, for planning menus, costs, amenities and services for internal events including Commencement, Spring and Fall Open Houses, Alumni Weekend, Orientation and Family Weekend. Create outstanding rapport with all clients in order to maximize positive public relations and customer service. Determine, prepare and provide cost information for events, including providing final invoices. (30%)
• Oversees daily operations of the University Events operations team. With the Director establish strategic goals for providing outstanding service to internal and external clients. (10%)
• Supervises the event managers and students in the development of event bookings, reservation contracts and maintain and refine procedures that assure all necessary information has been properly prepared and communicated to stakeholder. Responsible for training, scheduling, and assigning managers, students and service personnel for internal and external events to ensure customer satisfaction. (30%)
• Coordinates with support services including facilities services, dining services, and media services to ensure that all event details are addressed and that the client is completely satisfied. Supervises the scheduling of summer conferences and Summer housing. (20%)
• Participates in evaluating budgets and contractual provisions to determine requirements for space, location, technology, equipment, accommodations, catering and on-site management. (10%)

Skills & Qualifications:

BS/BA required, 3-5 years relevant work experience. Prior management experience is valued.

Excellent organizational and communications skills. Detail oriented. Ability to handle multiple tasks and projects while staying within budget parameters. A minimum of intermediate Excel skills required. Familiarity with Monday.com, Event Guru, 25Live, Workday and Coupa is desired but not required. The ability to quickly adapt to new software, technology. The ability to quickly adjust and address any emerging issues is essential. Excellent Customer Service Skills and easily able to build positive relationships across all levels of an organization a must.

Valid driver's license in good standing required.

Staff will serve in an on -call rotation Friday-Sunday. May include some required evening or weekend hours based on event and staffing needs.

The Director of Pre-Health Advising at Brandeis oversees the University's Pre-Health Advising team and provides individual and group advising to students interested in pursuing acceptance into medical school, dental school, veterinary school, and other allied health profession schools (including physician assistant, physical therapy, optometry, and podiatry).  The Director chairs the Board of Pre-Health Advisors, a faculty and staff committee which provides evaluative information for the committee letter, and manages the Brandeis committee letter process. With colleagues, the Director composes or supervises the drafting of approximately 120 composite letters of support for candidates each year.  The Director supervises a team who are responsible for assessment of program effectiveness, development of innovative initiatives to prepare pre-health students for their future career path, advancing efforts to support underrepresented students pursuing health professions careers, and maintenance of the pre-health website and other on-line tools as well as the publication of any print materials.  As a member of the leadership team in Academic Services, the Director also works collaboratively with the staff and programs in Academic Services and with our campus partners. 

Position Description:

Brandeis University seeks an experienced, innovative educator to lead a robust Pre-Health Advising team within Academic Services. The Director will:

• Direct a growing program of advising for students and alumni interested in applying to medical or other health professions schools. This includes advising individual students and facilitating a robust group advising model (50%)
• Supervise, mentor, and evaluate two professional staff members and 3-4 graduate and/or undergraduate students. (15%)
• Supervise Assistant Director in efforts to create and maintain assessments for Pre-Health Advising and maintain statistical information regarding Pre-Health Advising activities and medical/health professions program admission outcomes.  (15%)
• Direct the Brandeis Board process, which leads to a committee letter of recommendation.  Supervise the Board of Pre-Health Advisors, which includes faculty and pre-health advising staff. Provide knowledge and expertise to the Board and share outcomes of admission decisions.  Chair the Board and lead all required steps in the interview process, including supervising the composition of approximately 120 committee letters annually.  (10%)
• Serve as a campus expert and resource to students, faculty and staff on medical and health professions programs.  Facilitate development of knowledge among other offices and academic departments regarding pre-health topics.  Foster relationships with department chairs and other faculty.  Act as the University’s pre-health professions spokesperson at Admissions and Orientation events, and communicate as needed with medical and health professions schools, and other internal and external partners. (10%) 

Qualifications:

• Master’s Degree in Education or related field required
• At least 8 years of progressive experience in a higher education environment, including 3-5 years of supervisory/management experience.  A minimum of 5 years of advising experience, with at least 2 years of health careers advising.
• Must be able to work with a wide range of students with different academic backgrounds and skills in a supportive manner.
• Must be able to lead and mentor professional staff. Requires very strong written and oral communication skills and the ability to manage multiple tasks simultaneously.
• Must be self-motivated and able to work independently, and also be able to work as part of a broader team within Academic Services.
• Must be comfortable with evolving technology and a paperless office environment.

The Assistant Director of Graduate Affairs is responsible for the development, implementation, and administration of programs and activities designed to engage graduate students and to encourage the development of the holistic well-being of students within the university's cocurricular environment. Key Responsibilities:

• The Director manages and supervises the Student Accessibility Support (SAS) unit, consisting of 5 other full-time staff members and a part-time staff member, numerous Graduate Assistants, and a large number of student workers. The Director carries a caseload of individual students and collaborates widely across the University with campus partners to provide student accommodations including transportation, accessible classrooms, housing accommodations, dietary accommodations, assistive technologies and accessible course materials.  They supervise and guide staff members on appropriate intake and documentation procedures, managing accommodation requests, facilitating the interactive process, and determining the appropriate accommodations for graduate and undergraduate students.  They oversee contracts with auxiliary service providers including captioners, ASL translators, note taking technology vendors, etc.
• The Director serves as the subject matter expert on implementing student accommodations in compliance with the Americans with Disability Act (ADA) and the ADA Amendments Acts (ADAAA), Sections 504 of the Rehabilitation Act, the Fair Housing Act, OCR/DOJ letters, regulations, guidance, and relevant case rulings.  They keep informed of best practices so as to alert and educate university administration of changes that will affect university practices and initiate conversation and collaboration within the Brandeis community to address these evolving needs, working closely with the ADA/Section 504 Coordinator and General Counsel. They respond strategically to shifts in number/type of disabilities as well as to evolving law, assessing need and proposing campus response and policy as necessary. They chair the Campus Accessibility Committee and lead campus-wide communication about accessibility policies, practices and protocols.  They advise on accessibility-related facilities projects and oversee discretionary funding for small to medium scale facilities projects.
• The Director develops and provides training regarding campus disability services and specific needs of students with disabilities, with particular emphasis on training faculty in inclusive course design, effective implementation of academic accommodations, and notable trends. The Director shares information regarding best practices in accessibility by engaging in on-going professional development and sharing those best practices with staff and the greater Brandeis community.
• The Director oversees data collection and management for students registered with SAS and provides data and statistical reporting for the Office of Institutional Research upon request.  They collaborate with the Office of Institutional Advancement in the proposal, implementation, reporting, and relationship with donors.  The Director represents SAS in conversations with prospective students, guidance counselors, and evaluators.  They represent SAS at Open Houses, professional meetings, and conferences.

The associate director is one of the university’s key resources and stakeholders for matters related to sustainability.  Develops sustainability programs while pursuing continuous improvement to existing programs.  Prioritizes areas for the university’s sustainability efforts and the allocation of limited resources toward sustainability programs managed within Campus Planning & Operations and by other departments.

Engages administration, students, and faculty as needed to identify goals, resources, and metrics to track program success.  Applies technical skill sets to both lead and support qualitative and quantitative analyses, e.g., decarbonization, carbon impact, and project return on investments
Advances Brandeis’ participation in the external community and the growing sustainability industry through professional development and  relationship building with peer professionals and organizations such as AASHE and USGBC.

Serves as a key university spokesperson on sustainability.  Leads and supports related marketing, communications, awareness and engagement of the internal and external community through institutional updates, web and print portals, events and presentations.

Operations (40%)

Works with colleagues on operational areas – such as energy, food, grounds maintenance, capital programs, procurement, and investment – to advance industry best practices related to the university’s sustainability goals. Examples of specific tasks include:

• Working with Procurement to develop cost-effective environmentally responsible purchasing practices;

• Advising capital project managers with goal setting for energy use targets, prioritization of carbon reduction features in building systems design, and measurement of cost savings and carbon footprint;

• Supporting energy management on the implementation of recommendations in the 2023 Decarbonization study;

• Tracking the carbon footprint of the university food service program and other auxiliary services.

• Supervising student interns through the Eco-Rep program;

• Supporting Environmental Studies classes on sustainability projects and applied learning experiences for students;

• Other duties as required. 

Reporting (20%)

 Leads the development and maintenance of performance metrics to track program effectiveness, including institutional benchmarking and monitoring peer institution activities. Develops, reports, and manages related submissions such as Annual Green House Gas Inventory, ACUPCC, STARS, etc.  Records relevant metrics on Brandeis’ Sustainability Data webpage. 

Qualifications

• Bachelor's degree required, preferably in a field related to environmental studies.  Advanced degree preferred.

• Minimum of five years’ experience in sustainability-related positions, preferably in higher education

• Technical skills:  Proficiency in spreadsheet and word softward, Tableau, Qualitrics, website management.

Position Summary

The Associate Director of Corporate and Foundation Relations is an integral part of the Institutional Advancement team, working closely with the Assistant Vice President to promote fund raising from foundations and corporations university-wide. S/he will identify, cultivate, solicit, and steward a portfolio of 65+ six- and seven-figure University donors, working closely with the President, Provost, Deans, and other university leaders and traveling as needed. At the direction of the Assistant Vice President, the Associate Director will lead design and execution of key special projects, including supervising staff.

Position Responsibilities

• Manages a portfolio of 65+ corporation and foundation prospects capable of $100K+ awards, with 20-30 being actively cultivated towards solicitation at any one time. Maintains portfolio through regular identification and qualification of new prospects/disqualification of current prospects for university priorities and regular strategy reviews. Engages and mobilizes key faculty members and academic leaders as appropriate.
• Develops thorough, compelling, and authorized concept papers and proposals for corporation and foundation prospects, working closely with faculty experts and university leaders.
• Supports the President, Provost, Senior Vice President, and other University leadership as well as Major and Principal Giving by developing proposals, research briefings, talking points, and correspondence; strategic donor management; and staffing donor meetings.
• Takes a significant role in assisting the Assistant Vice President in departmental planning (operating and strategic) and supervising key projects.

Education: B.A/B.S. required. advanced academic degree strongly preferred as indication of work at a high level in a research university context.

Work Experience: 5-8 years of relevant fund raising or academic experience, preferably including 1-3 years with some management responsibility.

Curiosity about a range of scholarly disciplines and research is essential; familiarity and experience with the Jewish philanthropic sector and issues facing the global Jewish community is a plus.

Continually develop and maintain portfolio of 65+ major corporate and foundation prospects Actively cultivate towards solicitation 20-30 prospects at all times Lead or assist $2-3M+ solicitations each year
