We are recruiting for an experienced Sales Secretary to join our Eastern Regional Office, based in Bury St Edmunds. This role will require you to work closely with and assist our successful Sales Department in the day-to-day operations within the region. At Bloor Homes we build homes our sales team are proud to sell – join us and help to make our customers’ dreams become a reality.



MAIN DUTIES

Managing the update of sales releases, reservations, exchanges, completions and cancellations and Optional Extras onto Eque2 Housebuilding
Circulating and electronic filing of all paperwork in relation to Plot sales
Update daily, weekly and monthly Sales Reports including Visitors, Part Exchange and HTB etc.
Preparation of Completion Statements and issuing to all relevant parties.
Coordinating and ordering uniform and PPE for the department.
Managing Lone Worker Devices administration for Sales Advisors.
Providing secretarial and administration support to the Sales Director and wider team including reporting, diary management, taking and producing minutes of meetings typing of correspondence, filing, record keeping as required.
Arranging cheque payments and administering refunds
Checking Plot Contracts as and when received and distributing for signature, as necessary.
Carrying out duties in accordance with The Health and Safety Policy and other Company policies.
Managing corporate hospitality events to include bookings, timetables, invitations, costings etc. as directed.
Managing FORTE and checking of Invoices.
Collation of stationary and supplies for Developments
Providing reception cover secretarial support to other departments as required
Attending meetings that may be necessary in the performance of your duties.
Complying with and uphold company policies and procedures.
Maintaining all health and safety aspects associated with Covid-19.
Undertaking any additional tasks as may reasonably be required from time to time including the following:
Management of Sales Rota and Annual Leave
Collating and administering Sales Advisors Mileage and Expense Claim Forms on a monthly basis.
Preparation and land research for NSSA Packs and Excel Land Reports.
Production of CACI Reports and Rightmove Best Price Guides. Researching schooling and local amenities for coming soon developments and researching house prices sold and competitor availability.
Administration of customer selections and entering them into the data base
Generating and issuing orders to contractors
Confirming initial set up of sales lines for coming soon developments (i.e. BT connections/PC requirements/Sales Offices etc.).
Ordering and management of Welcome Gifts


ESSENTIAL SKILLS / ATTRIBUTES

Experience of working in a similar role.
Experience in website content management systems.
Educated to A Level standard or equivalent.
Good time management and ability to manage own workload.
Computer literate, specifically in Microsoft Office packages and databases.
Excellent attention to detail.
Ability to make decisions and use own initiative.

MAIN DUTIES

Planning and recording progress in accordance with the Company’s approved methods of planning and recording.
Ensuring all builds are produced to a consistently high standard of quality in line with relevant standards and regulations.
Dealing with any customer queries during the production cycle promptly and effectively, ensuring a satisfactory outcome for both parties.
Appointing and managing employed and labour only sub-contractors appropriate for the site.
Co-ordinating labour and materials to meet the production programme, maintaining the optimum level of materials on sites consistent with the labour force being fully and effectively employed and the agreed production programme being met.
Monitoring the output of all persons working on site and signing work off for payment, ensuring they have been completing to the required standards of quality.
Initiating all inspections made under the Building Regulations and liaising with inspectors whilst on site.
Supervising and inspecting all road and sewer construction on site.
Organising the connection of all services in a timely manner for occupations.
Carrying our pre-completion inspections of properties with the purchasers and recording any outstanding works.
Ensure all activities on site accords with both statutory H & S Law and site specific RAMS.
Ensuring all reasonable requests from the sales team in connection with the preparation and maintenance of show homes are accommodated in a timely manner.
Taking responsibility for all compound security and all properties.
Assisting the Customer Care Team by ensuring maintenance works are completed in a professional and efficient manner.

In this role you will be working alongside the Sales Director/Sales Manager and Construction Department to manage successful and timely site launches whilst ensuring your sites are presented to the highest standards. MAIN DUTIES

Ensuring sales are negotiated to achieve maximum price with minimal incentives, empowering the team with relevant information, delivering at pace, keeping both self and Sales Team motivated and focussed on results.
Close monitoring the progress of existing sales and part exchanges to ensure the achievement of target exchanges and legal completions, ensuring Sales Advisors, IFA and solicitors are aware of monthly completions.
Induction, training and on-going coaching of both existing and new Sales Advisors through 1:1 meetings, local team sessions, SSP refresher training and mystery shop reviews. Agreeing personal development plans where required, ensuring these are actioned and followed up.
Managing the team to help achieve agreed KPI’s, such as time from reservation to exchange, percentage of IFA and solicitor referrals, sales per outlet per week and cancellation rate.
Communicating new initiatives and ensuring all schemes are used correctly and relevant paperwork completed accurately and sent to relevant people, including weekly VRM.
Ensuring your sites are presented to the highest standards, including internal, external and off site signage, sales area, show homes, view homes and stock properties. Liaising closely with Graphics/Marketing Department, ordering current literature and disclaimers, ensuring all is up to date and ordered in a timely manner.
Working alongside the Sales Director/Sales Manager and Construction Department to manage successful and timely site launches. Setting up sales offices and liaising with external customers i.e. signage companies/landscapers and cleaners
Reviewing and having strong knowledge of local competitors; both new build and second hand, their marketing activity and market conditions. Feeding this back to the Sales Secretary/Director.
Attending monthly marketing meetings, making recommendations on PR/marketing initiatives, feeding back to the Marketing Administrator on successful initiatives, liaising with local organisations where necessary to build relationships and strengthen the Bloor brand.
Providing pricing reports for the Sales Director for all Sales Releases, to be reviewed as required.
Preparing monthly sales rota, including managing of the team’s holidays to maximise opening periods, and distribute in a timely manner.
Attending meetings that may be necessary in the performance of your duties, including arranging of monthly sales meeting on each site with the team, relevant Estate Agents, IFA’s and solicitors and site set up meetings.


ESSENTIAL SKILLS / ATTRIBUTES

Previous experience in sales management for a volume house builder or new homes department of an estate agents.
Experience of managing a team.
GCSE English and Maths at Grade C/ Grade 4 or above (or equivalent).
Full Driving Licence
An understanding of the sales and legal process

What Will Your Day Look Like?

What Will Your Day Look Like?

The role will be both challenging yet rewarding, compiling and delivering complete civil engineering packages across the division. Our commitment to excellence means you can play a crucial role in maintaining the already high standards of a genuine industry leader.

Developing road and sewer designs with the approving bodies in order to solve all associated engineering issues.
Preparing/Co-ordinating detailed Section 38 and Section 104 designs.
Preparing/Co-ordinating external levels drawings and private drainage drawings.
Briefing and managing the Foundation Design Consultant.
Assembling and delivering the civil engineering package.
Obtaining Section 38 and Section 104 approvals.
Obtaining foundation design approvals.
Completing Section 38 and Section 104 agreements.
Discharging engineering related and building related issues.
Assisting in the discharge of engineering related planning conditions.
Arranging for Section 38 and Section 104 maintenance inspections and bond releases.
