Pay Rate: £11.95 per hour PAYE
Hours per week: 36 Monday – Friday, normal working hours
This opening assignment is for 4-5 months
City: SIDCUP, Kent
Hybrid working – after initial full office training is completed and full clearance obtained
Candidates will start on £11.95 and move to the rate of £17.90 PAYE after 12 weeks.

As a Triage Officer you will also be responsible for dealing with cases that fall within the lowest complexity category and therefore this work includes the obtaining and reading of crime reports as well as the consideration of what information is suitable for disclosure and finally the issuing of that disclosure. The majority of the work will be undertaken in support of the Information Rights Unit (a unit within the Data Office). The role will involve you managing incoming demand for the unit which includes monitoring and responding to emails received by the public facing mailbox as well as opening and dealing with post sent to the office. The role will include reviewing incoming requests against checklists and making decisions in respect of whether requests are valid, what specific actions are required for each individual request and assessing the complexity of the request against 8 categorisation levels.
Key Responsibilities:
Receiving requests and enquires from the public via the busy mailbox or through the post. Making sure posted correspondence is digitalised so that it can be recorded on the system and processed remotely if necessary.
Responding to enquiries with the correct standard reply and taking part in more ad-hoc enquiries with support from your line manager
Logging requests on CycFreedom system and checking appropriate payment has been made for chargeable services.
Checking the system for duplicates before creating a new case on the system while always ensuring that the information entered is correct and free from any errors/typing mistakes.
Reviewing each request against the relevant checklist. Making decisions on what actions are required for each specific request for example, deciding whether the request is valid, deciding whether key stakeholders need to be informed and searching for information that had been previously disclosed or it is otherwise in the public domain.
Case management for low complexity requests. Cases that you have identified as “quick wins” are to be completed within the team. This means that for certain offence types you will be required to access the crime report, consider what information within the crime report is suitable to be released and digitally redact (remove by covering with black marker) information that is not suitable for disclosure.
Typically, new starters will have each case checked for the first 6 months after which staff are usually able to make disclosure decisions autonomously – but always with the option of requesting a double check if you feel it is necessary.
You will be disclosing the crime report to applicants and you will be expected to respond to any follow up questions they have, for example should they not understand an acronym within the report. Please note each case is unique and this is not a comprehensive list of actions that will be required.
Dispatch service – as part of the support to the Data Office the team provide a dispatch service where material is printed out and posted to members of the public.
To clarify the above, some tasks such as the dispatch service and the receiving of incoming post must be undertaken at the base location (the Sidcup hub).
This is a new post within a newly created team and it should be noted that additional duties in respect of supporting other areas of the Data Office will be added to the remit of the Data Office Triage Team in due course. Those additional duties are likely to be broadly in line with the above and include a similar split of agile and office based functions.

Experience:
Experience of presenting complex analytical data in formats suitable for a variety of audiences.
Experience of working within a busy team (for example monitoring a fast paced mailbox).
Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Knowledge of MPS systems i.e. CRIS, CAD Lite/CAD Archive, IIP etc desirable.
Experience of working within a legal framework and working towards statutory deadlines desirable.
Skills & Abilities:
A basic understanding of the Data Protection Act 2018.
A basic understanding of the General Data Protection Regulation (GDPR).
A basic understanding of the Freedom of Information Act (FOI).
A willingness to expand your knowledge of the above areas and other associated Acts as well as MPS and National policing policies.
Excellent customer service and communication skills.
The ability to carry out fast paced work.
The ability to make and evidence decisions within the frame work provided.
The ability to work under pressure and prioritise work to ensure legal deadlines are complied with.
Strong IT skills with Microsoft Office products and the ability to learn and adapt to bespoke software (CycFreedom).
