• Day to day management of the pharmacy purchasing, stores and distribution department within the pharmacy, including organisation of workload
• To line manage, support and supervise all stores, purchasing and distribution staff
• To ensure the cost-effective purchasing and supply of pharmaceuticals across the Trust
• To be a systems manager for the pharmacy computer system, particularly regarding the stores functions. Including maintaining drug file, ward and supplier databases and keeping NHS Commercial medicines unit (CMU) contracts up to date
• To be responsible for the day to day work, service delivery and staff in the pharmacy stores
• To be responsible for cost effective procurement of medicines across the Trust ensuring medicines are purchased according to pharmaceutical procurement contracts negotiated by local consortium, regional and national sources including CMU
• Responsible for managing medication shortages and recalls, liaising with the clinical pharmacy team and chief pharmacist as necessary, in accordance with relevant procedures including off contract procurement and claiming back price differences
• To be responsible for the safe and effective supply of stock medicines to the Trust and external organisations provided with a pharmaceutical service, including over-labelled and unlicensed medicines according to department SOPs
• To be responsible for the effective stock management within the pharmacy stores including expiry date checks, regular stock takes and investigation and resolution of discrepancies
• To ensure there are effective systems in place to manage returns and minimize pharmaceutical waste and ensure pharmaceutical waste is disposed of in line with environmental agency guidance
• To ensure the timely yearly renewal of relevant department registrations and licenses including environment agency licenses
• To act as a system manager for the pharmacy computer system, particularly regarding the stores functions

Key Task and Responsibilities
• To be responsible for the day to day work, service delivery and staff in the stores, purchasing and distribution department according to good distribution practice
• To be responsible for cost effective procurement of medicines across the Trust ensuring medicines are purchased according to pharmaceutical procurement contracts negotiated by local consortium, regional and national sources including CMU
• Responsible for ensuring that procurement activities are compliant with Trust standing financial instructions, CMU initiatives and requirements, including ensuring bonafide supplier checks are complete
• Responsible for managing medication shortages and recalls, liaising with the clinical pharmacy team and chief pharmacist as necessary, in accordance with relevant procedures including off contract procurement and claiming back price differences
• To be responsible for investigating, and resolving order and invoice discrepancies
• To attend and participate in local/regional procurement consortia meetings including adjudication of contracts
• To be responsible for the safe and effective supply of stock medicines to the Trust and external organisations provided with a pharmaceutical service, including over-labelled and unlicensed medicines according to department SOPs
• To ensure that ward and emergency drug cupboard (EDC) top-ups are organised effectively and that stock levels are periodically being reviewed. Any updated EDC stocklists are uploaded to the Ox
• To be responsible for the effective stock management within the pharmacy stores including expiry date checks, regular stock takes and investigation and resolution of discrepancies
• To ensure there are effective systems in place to manage returns and minimize pharmaceutical waste and ensure pharmaceutical waste is disposed of in line with environmental agency guidance
• To participate in the supervised destruction of controlled drugs in conjunction with the lead technician (dispensary) and a senior member of Trust staff as nominated by the Trusts controlled drugs accountable officer
• To ensure there is a system in place so that emergency drugs boxes for the Trust are always in date and available in case of emergency situations
• To ensure the timely yearly renewal of relevant department registrations and licenses including environment agency licenses
• To deal with telephone enquiries concerning the supply of medicines to wards and clinics
• To act as a system manager for the pharmacy computer system, particularly regarding the stores functions. Including maintaining drug file, ward and supplier databases adding new drugs to the system and keeping medicines CMU contracts up to date
• To be responsible for the final accuracy check on dispensed prescriptions in both the dispensary and the repeat room according to SOPs, if required
• To dispense medicines for inpatients and outpatients including discharge, weekend leave, self-medication, filling of compliance aids and the supply of patient information leaflets in accordance with SOPs, if required. This will require entering patient detail onto the pharmacy computer system
• To undertake any other relevant duties, as may be required by the chief pharmacist
Management responsibilities
• To lead and participate in recruitment and selection of new staff for stores, distribution and procurement
• To be responsible for updating healthroster when on the rota to do so, including bank shifts and overtime
• To be a full approver for healthroster
• To be responsible for writing & updating the SOPs for stores, distribution procurement of medicines
• To be responsible for writing the support staff rotas for the pharmacy department support staff in conjunction with the Lead pharmacy technician (dispensary)
• To act as an authorised signatory for drug orders according to Trust financial standing instructions
Leadership
• Responsible for ensuring that relevant newly appointed staff in stores and distribution receive an appropriate induction and training
• To carry out annual PDRs and agree objectives for staff in stores and distribution according to Trust procedures
• Responsible for performance and other human resources issues (some of which may be complex and emotionally distressing) for staff in stores, and distribution in line with Trust policies
• To be responsible for the training of all staff in the operation of the pharmacy computer system particularly regarding the stores modules
• To develop and update an ongoing training package for new and current staff working in stores, procurement and distribution including pre-registration pharmacists and students
• To be responsible for organising and leading regular monthly supervision meetings for staff in stores and distribution
Clinical
· To contribute to the maintenance of the lithium database as required
Research
• To contribute to quality improvement projects and clinical audits
• Proactively participate in senior technician 3 monthly ward checks and to update the checklist in line with current safe storage of medicines audits
• To participate in regional procurement audits
Communication
• To be responsible for reporting on purchasing and distribution KPIs
• To maintain records of 3 monthly storage of medicines checks
• Communicates with suppliers when there are order/invoice discrepancies and medicines shortages
• Communicates in and outside of the Trust regarding supply of medicines
