Overview
The facilities lead will oversee the seamless operation of Client Singapore offices. This include both hard and soft services, and ensuring highest standards of service delivery across functions, as outlined in the Service Level Agreement. The facilities lead will optimize operational efficiency, ensuring
compliance with regulatory standards, and creating a safe and productive environment for all employees in Client.

Detailed Work scope

• Ensure seamless office operations by overseeing all hard and soft services, as well as guest’s experiences at the Front of House
• Ensure all queries are responded and rectified within an agreed Service Level Agreement (SLA)
• and quality standards.
• Provide reporting and analytics for Client, including but not limited to maintenance activities,
• inspection and incidents, generate key performance indicators and metrics, budget performance
• and variance analysis.
• Developing, managing and tracking of admin and facilities management budget. This would
• include introducing cost control measures implementation (as identified) to ensure financial
• efficiency.
• Effective vendor management to ensure seamless daily office operations and coordination
• works.
• Serve as a point of contact during emergency situations and facilitate the response efforts.
• Liaise with Building Management Office (BMO) on any initiatives, activities or rectification works
• which may impact office operations.
• Identify areas for process improvement and efficiency gains.
• Propose and implement corrective actions and enhancements to optimize performance.

• Bachelor's Degree and at least 5 years of Facilities professional experience
• Strong Facilities Technical (Mechanical and Electrical) knowledge and experience;
• Able to handle manual duties and perform regular facilities inspections;
• Pro-active, independent, able to work with minimal supervision and perform under pressure;
• Knowledge and experience in computer systems, including Microsoft Windows and Office operating systems;
• Excellent verbal and written communication skills in dealing with stakeholders from diverse backgrounds (in English)

RESPONSIBILITIES

• Conduct general repair and maintenance of premises and equipment
• Prepare and arrange rooms in the Home for different functions
• Assist in assets movement and labelling of assets
• Ensure the key facilities are functional and trigger external maintenance when needed Report to the Reporting Officer of any equipment malfunction or breakdown
• Man the Fire Command Centre, CCTV monitoring system, fire safety alarm system and attend to security issues, eg. activate SCDF when required
• Participate as member of the Home's Fire Safety Committee and support Operations to attend to any fire haze
• Ensure that safety precautions are taken in the course of work
• Assist in inventory management
• Any other duties as assigned

• At least 1 year of related experience
• Good team player
• Able to read and write simple English
• Able to lift heavy items
• Able to do shift work, inclusive of weekends and public holidays
• Experience in SAP system is an added advantage

Reporting directly to the HSEQ Assurance and Governance Manager, the role of Regional Facilities Manager will provide strategic operational support at a range of corporate offices and Land and Natural resources locations across the Midlands and Southwest working with existing facilities coordinators, estates personnel and associated contractors.

As Regional Facilities Manager you will also be responsible for:

• Ensuring the locations meet all HSE standards and comply with all statutory requirements including management of contractors
• Providing ongoing monitoring and support including travel to locations across the Midlands and Southwest regions to provide appropriate support and direction for delivery
• Ensuring all service provider contracts, including security and cleaning, are optimised for service delivery and full use of SLA’s and scorecards to manage on-going performance
• Working with Procurement to optimise contracted spend and operational performance with approved suppliers
• Identifying improvements to existing facilities including a focus on supporting employee wellbeing on site
• Supporting the budgeting process to ensure costs are managed effectively
• Actively participating in the remodelling of the portfolio to maximise facilities management benefits including efficiency, optimisation of office use and space and cost control
• Respond appropriately to emergencies or urgent issues
• Ensure there is effective employee communication for all staff employed on site

To be successful in the role of Regional Facilities Manager the ideal candidate will possess previous experience working in a similar regional role, successfully delivering and optimising a multi site facilities management programme.

Suitable candidates for the role of Regional Facilities Manager will also possess:

• Ability to build credible working relationships and influence stakeholders at all levels
• Confidence and capability to deliver leadership and direction for strategic projects and ongoing continual improvement opportunities
• Proven experience in identifying and resolving problems by developing logical solutions
• Working knowledge of budgets and financial planning
• Good health and safety knowledge specifically linked to statutory compliance
• Flexibility to respond to individual and business needs in a timely manner
• Ability to recognise ongoing continual improvement opportunities and synergies across different locations to maximise value of services and performance
• Willingness to travel to sites across the UK with overnight stays away when necessary
