Role and Responsibilities
Summary
The Candidate will report to the Security Manager and will have primary responsibility for a professional, polite image as the primary point of contact for greeting and assisting visitors to CAE USA Inc. as the first line of defense to our Arlington cleared facility. He/she will play a major role in enforcing Security policies related to Visitor access and have a demonstrated ability to resolve issues of visitor and employee access professionally and effectively. Additionally, the candidate will provide key administrative support to the organization by performing data and record entry, building access and maintaining logs for the Arlington facility as required by the 32 CFR Part 117 National Industrial Security Program Operating Manual (NISPOM) and Corporate Policy. This position will support a fast-paced, technically diverse employee population including government, military and contractor personnel.
The selected candidate must be able to work with minimal supervision, be detail oriented and able to work with various levels of personnel.
The candidate will also provide back-up support to other operational support roles within the organization to include DoD personnel clearance processing utilizing US Government databases to include DISS, NBIS, e-QIP and eAPP, as well as maintaining personnel records using the security management system for the CONUS and OCONUS off-site locations for CAE USA Inc., Arlington employees.
Essential Duties and Responsibilities
Responsibilities:
- Act as first line of security implementing Visitor policies and monitoring visitors while they are in the Lobby
- Greet all visitors and determine purpose of visit, assure proper sign-in, maintain visitor’s register (record arrival time, visitor’s name, Government Agency/Vendor Name, purpose of visit, and citizenship) and issue badges in accordance with Security procedures.
- Process all incoming visits with proper Link personnel
- Perform Restricted Party Screening (RPS) on all visitors using Visual Compliance data base and submit all reports to the Empowered Official (EO)
- Process incoming Visitor Security clearances using DISS/NBIS (to include taking a servicing relationship with long term visitors)
- Activate and issue temporary badges to personnel using the Security badging system
- Coordinate visitor’s arrival with responsible point of contact
- Answer switchboard in professional manner and transfer incoming calls to proper person
- Be prepared to implement procedures for potentially serious circumstances (e.g., suspicious personnel, activities, severe weather and company disaster evacuations)
- Provide back-up support for Arlington personnel clearance processing and e-fingerprints
- Assist with data entries into DISS, NBIS, e-QIP and eAPP
- Assist with the conducting of internal self-inspections
- Other duties as assigned

Qualifications and Education Requirements
- High School Diploma or GED, required
- Must obtain and maintain a final DoD Secret clearance
- Minimum 5 years demonstrated experience in a fast-paced, multi-tasked environment supporting large teams, and a demonstrated ability to exercise sound judgment with proper discretion in handling sensitive/confidential/proprietary information is required.
- Strong organizational skills and attention to detail
- Professional oral/written communication skills, focusing on customer service
- Present a professional relationship with CAE USA Inc. customers both during visits and phone interactions
- Outgoing, friendly personality
- Ability to work well individually and in a team environment with minimal supervision
- Proficient with Microsoft Suite of Office products (Word, Excel, PowerPoint, Outlook)
- Ability to interface effectively with all levels of management and customers
- Ability to multi-task in a fast-paced environment and manage work with frequent interruptions
Preferred Additional Skills
- Prior Security Experience is preferred
- Working knowledge of the NISPOM, specifically those chapters related to security requirements, clearances and visitors
- Records management background
- Experience working in defense contractor environment is a plus but not required
- Working knowledge of DISS, NBIS, e-QIP, eAPP and SWFT
Security Responsibilities
Must comply with all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.
- Incumbent must be eligible for DoD Personal Security Clearance.
Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is not a remote position.
