The role

• Lead a diverse team of Outsourcing analysts and Seniors across our Colchester and Ipswich offices with Partner Support inspiring, motivating and coaching the team to be the best they can be.
• Leading on the conversion of new business opportunities and delivering proposals to prospects through building internal relationships and external networking.
• Able to demonstrate that they have an extensive pragmatic working knowledge of bookkeeping.
• Able to confidently use software such as Xero, Sage, Dext, Quickbooks, ApprovalMax and Go Proposal as well as training others in the team to use them in an efficient way.
• Reviewing bookkeeping, management accounts and VAT Returns completed by team members.
• Managing the workflow of the Bookkeeping team. Reviewing weekly work plans & ensuring the team is working towards deadlines throughout the week, as well as ensuring that quality standards are maintained
• Review weekly timesheets completed by the team ensuring that time posted to clients and non-chargeable assignments are consistent.
• Working with clients to agree timelines of when bookkeeping and VAT returns need submitting.
• Being the main point of contact for clients for Bookkeeping work.
• Occasional visits to client offices to set up and maintain bookkeeping records and quarterly VAT returns.

• Build and maintain professional relationships with clients.

The Role:

An IFA Administrator / Technical Support Administrator is a supporting role for their advisers. It is less demanding than a paraplanner, but more technical than an office administrator.

It will be someone who understands the basics of retail financial services, products, systems and documentation requirements and to whom the advisory staff can confidently delegate work. The quality of our advice services rests on efficient administration it is therefore vital that you have an efficient and accurate approach to your work.

They are a busy office, so you will need to be productive and be able to prioritise your work in conjunction with the advisers.

Experience in a similar role or at least experience in the financial services sector is essential.

Duties:

- Communicating with providers and clients as required.

- Drafting and checking correspondence for and on behalf of advisers.

- Assisting advisers by preparing such documentation such as letters of authority, illustrations, application forms and annual review reports.

- Following up with providers and clients as necessary.

- Maintaining and updating client records on Xplan, our back-office system.

Salary and Hours:

You will be based in the offices here in Ipswich. Our office hours are 09.00 to 17.00 four days a week with an early 16:00 hrs finish on Fridays.

Salary for this role starts at £25,000 but will be more if your experience and competence warrants it.

This is a new Property Administrator (12 Month FTC - Maternity) job working as part of a positive, experienced and knowledgeable facilities management team.
This will be a busy and varied job; duties will include but not limited to:

• Ensure maintenance works are scheduled.
• Ensure checks are in place and works are logged correctly and updated on a continuous basis. Arrange reactive and planned maintenance.
• Assign and contact relevant resources (in-house/ contractor) to attend.
• Liaising with contractors to log, progress and attain updates on reactive work orders and PPMs.
• Responding to queries, amending data and re-issuing tasks/work orders as and when required.
• Raising purchase orders and keeping on top of payment of invoices.
• Providing cover and support for reception, answering calls, arranging couriers and sorting post, arranging hotel books for employees, as and when necessary.
• Ensuring all compliance documentation is received, recorded and filed correctly.
• Ensure work orders have been accurately created, assigned, prioritised and categorised in-line with appropriate SLA.
• Support with new vendor set-up procedures, attaining/filing and keeping track of relevant legal documents, maintaining the approved contractor tracker.

What you'll need to succeed
To succeed in this job, you will need to be an experienced administrator who is organised, methodical and logical; you will need to be able to work at pace in a structured manner and manage your own workloads within a team environment.

• Experience in administration or customer service role.
• FM experience preferred would be beneficial but not essential.
