Job Purpose
The Executive, Generalist will support and execute human resource initiatives that build a positive employer brand. He / She is responsible for performing full scope of HR Operations support functions relating to recruitment, training and development, Payroll and benefits.
Job Responsibilities:
Recruitment
1. Administer the day-to-day recruitment operations, screening and shortlisting of candidates, interview schedules and conduct interviews with Hiring Mangers.
2. Executes planned talent outreach and engagement activities to source for potential candidates and maintains an optimal experience for employees.
3. Conducts the initial screening of potential candidates, administers assessments and prepares employment contracts as per guidelines.
4. Provides administrative and logistical support (issuance of lockers/uniforms) during onboarding.
5. Manage posting of job vacancies and manage the full recruitment cycle, including job advertisements, career fairs, etc. Offer management and onboarding.
6. Collaborate with WSG/e2i for career fairs.
7. Liaise with internal department to understand recruitment needs and obtain approval for hiring.
8. Stay updated on industry trends and competitive market intelligence to adjust recruitment strategies and attract talent.
9. Handle all administration duties including staff appointment letters, onboarding materials, checklist, employee forms, reference letters etc
10. Administer employee engagement surveys and collates responses and feedback while ensuring confidentiality of information provided.
11. Attend to internal transfer requests and prepares employment contract renewals
12. Preparation of monthly reports in relations to headcount, recruitment and attrition rate
13. Support the administration of referrals for openings in the organization
Work Passes Processing
14. Handle work pass applications, issuance, renewal and cancellation
15. Monitor work pass quota
HR Operations
16. Maintain and enhance the human resources initiatives in employee relations and human resources policies, programs, and practices
17. Communicate HR policies and procedures
18. Assist HR Manager in the data collection and consolidation for reporting purposes
19. Support the administrative work on staff benefits and leave administration
20. Support learning and development activities, performance management, grievances handling and disciplinary related matters.
Employee Engagement
21. Support staff wellness & engagement events
22. Plan, coordinate and execute monthly birthday parties and other employee appreciation events
23. Take ownership of internal company communications, ensuring timely and engaging updates via email, newsletters, posters and internal goals.
24. Develop and manage partnerships with external brands to secure staff perks and benefits
25. Organize employee surveys and feedback channels to gauge engagement and continuously improve work environment
Others
26. Assist in upkeep of staff rest area
27. Support in any other ad-hoc HR projects that may arise
28. Adhere to high ethical standards and comply with all regulations /applicable laws
29. Follow the workplace safety and health system, safe work procedures or safety rules implemented at the workplace.
30. Not engage in any unsafe or negligent act that may endanger yourself or others working around you.
31. Use personal protective equipment provided to you to ensure your safety while working. You must not tamper with or misuse the equipment.
32. Any other duties/projects as assigned by Supervisor / Management
Qualifications and Education Requirements
• Diploma/Degree in Human Resource Management or equivalent
• 2-3 years of relevant working experience.
• Ability to plan and execute initiatives.
• Able to communicate effectively
• Good in HR system
• Meticulous team player with excellent time management and accuracy
• Possess effective organizational and follow-up skills, pay attention to details.
• Good interpersonal skills and able to interact with all levels, internally and externally, in a professional and responsive manner.
