Human Resources - HR Operations
Purpose
The HR Operations department strives to create and deliver a seamless and positive employee support experience across the entire employee lifecycle, from on-boarding right through to the exit process. The team also provides advice and guidance on absence management, performance appraisals, employee relations and maintaining employee well-being. We develop efficient and simple people processes and support the integration of our ‘people platform’ Workday. We deliver data that is useful and accurate to create people related strategies across the business. We collaborate closely with other departments within the Human Resources function including HR Business Partners, Reward, Talent Acquisition and Talent & Development teams.
The HR function is responsible for supporting the Company to help shape the culture of the business, ensure the right people are in the right jobs and work with department heads and managers to ensure employees are productive and engaged.
Main Duties & Responsibilities
Support the Global HR Operations team to simplify and streamline HR processes globally and contribute to improving service delivery.
Assist with on boarding of employees: issuing offer letters/contracts of employment, ensure background checks/medical checks are complete and obtain all required documentation. Coordinating the first day and conduct the HR inductions.
Production of correspondence for any changes to employee terms and conditions, including contracts of employment, changes to job title, reporting line and notice periods, transfers, flexible working letters, reference letters and confirming the completion of probationary periods.
Managing the HR Operations mailbox. Fielding staff queries and providing advice on various HR policies, guidelines, systems and reporting.
Responsibility for maternity, paternity, parental leave and sickness administration processes and ensure that associated payroll processes are completed.
Monthly collation of data changes for the Global Payroll team
Maintain and update electronic personnel record system (DIS) containing all employment-related information, HR tracker and various spreadsheets; enter data and maintain these accordingly
Updating the intranet pages including HR updates, policies and procedures, baby news and long service announcements.
Assist both the Global HR Operations Manager, the wider HR team and other functions with various ad hoc administrative tasks and data reconciliation when required.
Work to understand the data held in Workday and how this data is used to deliver insights that inform business decisions on headcount, budgeting, and planning. To support other integrated applications, to understand how our HR data flows across multiple systems.
Actively support the team in preparation for new Workday releases through engaging in testing new configuration and troubleshooting the issues that arise.
Collaborate with other team members and stakeholders on a variety on global and local initiatives, including HR Business Partners, Payroll, Reward, Talent Acquisition and Talent & Development teams.
