PURPOSE OF THE JOB
Performs responsible administrative and clerical duties for the Human Resources Department requiring independent analysis, exercising independent judgment, and a detailed knowledge of company methods, policies and procedures.
BACKGROUND and EXPERIENCE
At a minimum, should have a business school education and at least 5 years' experience in a human resources function.
NATURE OF THE JOB
This position operates in a highly - confidential environment. Individual must be adept at handling multiple changing priorities in a high-stress atmosphere.
This incumbent administers, interprets and informs all levels of the Company regarding policies and procedures. The position requires a great deal of communication, both internally and externally. Must be able to relate to a diverse group of people.
Incumbent usually establishes own priorities.
Should be familiar with Payroll / HR Systems.
ERRORS
Errors must be minimal. If not, could impact internal organization or external relationships.
Frequent daily contact with other members of department, other departments of the company and its offices / plants globally.
Individual coordinates required information from all levels of the company and disseminates data as required.
Contacts may involve providing or gathering information and maintaining harmonious relations.

Position is highly - confidential in nature with access to information such as salaries, business strategies as well as personal information, disclosure of which could be damaging to the internal organization.
SPECIFIC JOB RESPONSIBILITIES/COMPETENCIES
HR administration for EEIL employees:
- Regular update of Statutory Contract labour documents such as attendance, ESI, PF, working hours etc.
- Responsible for maintenance and entry of HR data. Maintain P-files ensuring all data reflect latest updates, especially to job, salary and all communication letters. Also develop computer reports as requested.
- Supports Human Resources Manager and the outsourced recruiting consultants with the successful recruitment of individuals. Coordinates for background checks, pre-employment medical checks and psychometric profiling for qualified candidates.
- Provide support and coaching to employees on absence management, disability leave and family medical leave etc.
- Responsible for accurate record keeping e.g. potential candidate listings, open requisitions, internal databank etc.
- Responsible for coordinating with all departments for onboarding and joining formalities for new joinees and providing HR orientation to new joinees
- Regular update of Statutory documents such as Annual Census, Adult register, Muster Roll Register, Wage Register, Third party Contractors Register, Bonus pay register, Attendance record, Notify vacancies to employment exchange.
- Issue forms and notifications to labour office such as Working hours, work on weekends and declared holidays. Keeping tab on overtime hours and verification of overtime received from departments
- Coordinate in maintaining training records and monitoring training Calendar and related documents and monitor training records on server
- Assist and support the HR Manager in the day-to-day activities of the Human Resources Department, organizing daily activities and updating HR Managers concerning HR matters.
- Responsible for posting salary job requisitions, notification to hiring managers and candidates and ensuring that approved personnel requisitions are on file to ensure no job opening is filled without proper authorization.
- Maintains all records on Elliott's Job Posting Program from initial posting to final selection, ensuring all records are up-to-date and accurate for possible review by the Department of Labor.
- Assist in administration of Earned Leave/Sick Leave/Hospitalization Leave and other entitled leaves.
- Responsible for integration, implementation, monitoring, coordinating and supporting in HRIS attendance management tool
- Responsible for end to end vendor relationship management activities from price negotiation, contract / agreement renewal, generating purchase orders and regular coordination with vendors for support
- Responsible for regular checks for insurance renewals and new joinee inclusions in a timely fashion.
- Administer Quarterly Rewards and President's Awards Recognition Programs.
- Support HR Manager with FRRO documentation for International workers and Secondment Employees.
- Assist HR Manager in ISO documentation and timely audit coordination with records upkeep
- Administer Employee Referral Bonus Program.
- Drive and assist in Employee engagement programs in coordination between HR with Facilities Admin.
- Perform other duties as required.
