Incumbent exercises judgment and reason and relieves Supervisor of as many administrative duties as possible. The HT Program Support Assistant performs a variety of clerical and administrative support duties for the HT Program and performs office data support using multiple automated programs and software such as SharePoint, databases, spreadsheets, word documents and graphics in support of the clerical and administrative work.

Duties include but may not be limited to the following:

• Handle and collate data for patients enrolled in the Home Telehealth(HT )Program.
• Serve as a point of contact for Veterans, medical center staff, community agencies, and various others who contact this office.
• Assist with any future proposals/projects that are implemented, distributes, and balances the workload among Care Coordinators, assures timely accomplishment of the assigned workload, helps with enrollment, disenrollment and troubleshooting non-responding activities on telehealth equipment and documenting these as appropriate.

• Receive and ascertain the nature of the calls or visits and directs telephone calls, messages, and patients/visitors.

Prepares patients for dental treatment, equipment for use by the dentist and provides chair side assistance to dentist and provide a wide range of dental procedures.

Responsible for ensuring that all work surfaces, equipment, materials, and instruments are properly disinfected/sterilized.

Maintain and use automated processing equipment.

Establishes dental records and is responsible for the control of medical records while they are in the dental clinic.

Responsible for the scheduling of patients, preparing the call-outs, and supervising inmate patients.

Maintains adequate stock levels of the expendable supplies used in the clinic and prepares purchase requests for the purpose of ordering additional supplies.

Responsible for maintenance and minor repair of dental equipment.

Major duties include, but are not limited to, the following:

• Involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources.
• Recommends changes to existing clinic procedures based on current administrative guidelines.

• Responsible for the coordination of Advanced MSA and MSA assignments and workflow found in the Acute Care team.
• Responsible for daily workload assessments, assuring proper staffing coverage, maintains efficient workflow through the administrative Acute Care team; reviewing training records; and determining if training needs exhibit across the administrative team.
• Assists the administrative staff with complex and non-standard consults across all specialties and identifies need for resources for staff. Assignments at the level include but are not limited to: ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintain employee work schedules; and acting as a liaison amount Advanced MSA staff, patients and other interdisciplinary staff to resolve day to day conflicts.
• The Lead MSA is a subject matter expert in all administrative support packages such as FBCS, CPRS, VISTA, VSE, REFDOCS, HSRM, PPMS, Consult Tracking Manager , Message Manager, Scheduling Manager and all other administrative packages required for scheduling staff to perform the functions of their role in community care.
• Ensures workload coverage, which may include covering the AMSA and MSA roles as needed if gaps in staffing/coverage are identified. The incumbent identifies this need independently without supervisor direction.
• The Lead MSA plans and organizes work with general assistance from the supervisor as to meet local and VA-wide time frames to complete analysis requirements, reports and special assignments and only refers to the non-routine and high technical problems to his/her supervisor. The incumbent is responsible for reporting backlogs, difficulties in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or the record. Is responsible for maintaining the confidentiality of information obtained to carry out required duties.
• The Lead MSA routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information. Otherwise, works independently making decisions based on guidelines, precedents and regulations and performs duties in such a manner that only minimal supervision is required.
