What you'll do as a Activities Assistant
As the Activities Assistant, you'll be working under the leadership of the Wellbeing Coach and become the person that residents, families, and colleagues know as the one who makes things happen.
Whilst you'll be supporting with arranging wellbeing activities on a weekly and monthly schedule for our community, you'll also get to know our residents and find out what makes them happy as individuals. You'll learn about people's hobbies and interests and work with colleagues and families to ensure residents can keep doing what they love.
Everyone is different, so at Hamberley, we work hard to ensure that people can participate in fun and meaningful activities, whatever their interests or physical and mental abilities. One day, you might arrange a trip to enjoy ice creams at the seaside, lunch at the pub, or a birthday celebration with family with mini-golf in the garden. You might start reading a new book with someone or take part in a weekly yoga session with a new resident. Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.



The post holder has responsibility for assisting with the provision of a professional, comprehensive, and efficient administrative service, which is effectively delivered to all patients and members of the Department. This will be through the delivery of a comprehensive administrative service to a specialty team.
• Provide administrative support to Consultants, clinical staff and all patients under their care, including, correspondence support and other administrative duties as required.
• Use of the Trust digital transcription systems to produce clinical correspondence to inform referrers, patients and other relevant parties of patient pathway progress. In doing so, produce correspondence that is of high quality and conforms to the national target of sending out within 7 working days.
• Book New and Follow up clinic appointments. Utilise vacant slots to bring forward clinically triaged urgent patients ensuring best use of clinic lists. Assist with the processing of new referrals on eRS (E-referral systems)
• Act upon queries from referrers, patients and other relevant parties in liaison with clinical staff. Take relevant action to provide reassurance and support to patients and their families by finding appropriate solutions to problems via phone or email.
• Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches.

You should be a good team player, who enjoys communicating with a wide range of people, be organised and have a flexible approach to work. The successful applicant will have a good general level of education and be able to deal with a very busy environment. You will also need to demonstrate good organisational skills and can remain calm under pressure. Good IT skills are essential for this post, therefore a good level of computer literacy is required to fulfil this role.

Principle Duties / Responsibilities
• To provide extensive administrative support to the clinical staff in SDS and RED department.
• To be able to use a variety of hospital booking systems and databases,prioritising your workload and can work with minimal supervision.
• To be able to answer queries by telephone or face to face and contact patients and other service providers as deemed necessary for the job role.
• To process all incoming mail, various email inboxes for the departments and checking regularly throughout the day and actioning accordingly in a timely manner.
• Register and process patient referrals daily for the SDS/RED department, ensuring that patient demographics are correct, and all information is uploaded correctly.
• Coordinate and book patient appointments using the hospitals electronic patient records (EPR) system. Ensure clinical staff have a vehicle available for outreach visits.
• Ensurepatient waiting times are strictly adhered to in the appointment booking process and liaise with Team Leader to resolve any issues.
• To take responsibility in ensuring that all clinics are closed by the end of each day using the internal system of processing this information is followed. Also ensure that information is provided to clinical teams and updated as per the agreed process.
• To liaise with the ambulance service when issues arise with patient transport on the day of the patient’s appointment.
• To understand how to use the translating services for the trust and book appropriately for clinic appointments as required.
• To deal with telephone calls, answerphone messages and emails from patients, healthcare professionals and other members of the public. Resolve any queries that may arise and update the relevant information systems.
• Demonstrate a calm confident telephone manner and be able to relay information to those where there may be communication difficulties.
• Familiarise with Rehab Engineering Departmental work tasks which involves ordering goods, preparing technical files, processing completed technical files, invoicing, preparing estimates and chasing purchase orders against the estimates. To request and chase funding from the ICB as appropriate.
• Resolve any queries from suppliers regarding misplaced equipment and liaise with the store person and clinical support worker to resolve any issues.
• Place orders of equipment using NEP and, in some circumstances, the RED ledger. To chase outstanding orders and dealing with queries as required to ensure the delivery of patient care.
• Process electronic purchase orders in a timely manner, ensuring that urgent orders are prioritised.
• Develop a familiarity of patient equipment to aid when dealing with purchase orders and queries.
• Handle order queries from suppliers/manufacturers and pass on to the relevant clinical staff member to resolve.
• Chase finance if orders have not been processed, ensuring delays and other issues are escalated to the Administration Team Leader to take forward with finance.
• Receive deliveries of equipment and receipt on NEP and other appropriate systems as appropriate depending on type of equipment.
• Arrange for couriers to collect/deliver equipment to suppliers/manufacturers.
• To process invoices for the RED/SDS department, ensuring these are processed regularly and submitted to E-billing in a timely matter.
• To investigate any non-payments or issues from suppliers re invoicing with the support of your line manager ensuring the queries are followed up.
• Carry out routine office duties such as photocopying, scanning and ensuring documentation and referrals are uploaded to EPR accurately.
• Responsible for ensuring the commissioning spreadsheet is updated daily/weekly for monthly returns to finance ensuring accuracy with the support of line manager and defining at the end of the month the group categories.
• Sending out clinic outcome reports on behalf of the clinical team and any other associated correspondence relating to administrative processes within the service.
• To attend relevant training courses and appropriate departmental meetings.
• To actively assist daily the OWS service with raising purchase orders on ELMS which is the wheelchair system for patient equipment or for general stock.
• To assist other members of the admin team with tasks as and when required and any other office duties suitable for your grade and deemed appropriate by your line manager.

We are seeking a keen doctor to be part of a busy Urology team at the Churchill Hospital, Oxford. The department is comprised of 16 consultants, 4 senior clinical fellows, 5 registrars, 4 core trainees, 2 FY2s (one training, one trust doctor (this post) and 1 physician associate. The Urology Department has 16 beds and 4 triage beds for emergency urology admissions. There is a high patient turnover. The ward is well supported by senior urology triage nurses and an excellent and knowledgeable nursing team.

The post would involve ward management and high-quality care for urology inpatients and well as theatre and outpatient experience. Ward work is supported by the on call registrar, FY2s and physician associates. The post holder would also be involved in working with the triage nurses to treat emergency urology admissions in our dedicated urology triage unit – this provides excellent emergency urology training. The post is a trust-appointed post but would be identical otherwise to a F2 training post in terms of timetable and experience.

The post is fixed term for up to 12 months.

Kamran’s Ward cares for Children of all ages receiving treatment for cancer or haematology conditions. There is lots of opportunity for professional development within this speciality and the well established team is supportive and progressive

Bellhouse Drayson Ward provides care for children aged 0-12yrs with all medical conditions specialising in Gastroenterology, Endocrinology, Cardiology and Respiratory medicine as either elective or emergency admissions. There are close links with Children’s CDU and Children’s ED. The team are cohesive and supportive in providing high quality care on a busy acute ward.

Childrens CDU is a 24 hour unit which links closely with children’s Emergency Department to provide care for children from a range of specialities who need further assessment, observation, continuation of treatment or to await results. The unit also sees GP referrals and ward attenders which gives varied dynamics to the busy unit. CDU is friendly and ensures the cohesive team works closely together and provides strong support and opportunities to develop.

Melanie’s Ward cares for the older patients from 12 years through to transition at 18 years. The work is varied and interesting as it covers all specialities seen in Oxford including psycho-social and mental health aspects of care. Patients are admitted both electively and as emergencies and the work is never dull! Melanie’s Ward team are versatile and supportive with a strong emphasis on team work.

Tom’s Ward is a large, busy surgical unit caring for children requiring both elective and emergency surgical treatment. The Ward specialises in Neonatal surgery, orthopaedic, spinal and general surgery. As with all the Wards, Clinical Educators support the professional development of team members.

The Ambulatory care service sees patients in two Outpatient departments and the Children’s Daycare Ward. Children have day case surgery, investigations or treatment for a wide variety of conditions. The friendly team work efficiently and cohesively to manage the busy throughput of patients.

Paediatric Critical Care (PCC)PCC provides tertiary level intensive care and high dependency care to the children of Oxford and the Thames valley region. - Coordinate MDT meetings; including being responsible for taking & distributing minutes and ensuring all actions have been completed.



- To manage all correspondence, and to ensure that urgent matters are dealt with properly. Taking appropriate action and ensuring that any paperwork is scanned promptly onto the patients’ electronic notes and forwarded to the appropriate person electronically so they can respond accordingly. Deal with outgoing mail with due care and attention to patient confidentiality.

- To regularly check future clinics, ensuring cover is agreed with the medical team, and under or over-booking issues are proactively dealt with.

- To ensure annual review appointments are scheduled for each patient and the service maintains effective clinic management throughout the year. Highlighting to Admin Team Leaders and/or the clinical team when clinics need to be cancelled or closed, ensuring patients are informed of changes and new appointments provided.

- Maintain databases, extract data from EPR and run reports for sharing with the wider team, as and when required
