Job Description Main Tasks:
The main day-to-day job duties include, but are not limited to the following:
- To follow all standards and procedures as outlined in the Reception SLAs.
- To meet and greet clients and visitors and to inform relevant parties of their arrival.
- To keep a track of people, know who they are meeting and which conference room is booked for them
- To meet and greet clients and informing hosts of their arrival.
- To maintain a neat & tidy reception area.
- To ensure conference suites are tidy, stationary is stocked and correctly set up.
- To ensure the booking system is up to date at all times
- To maintain a comprehensive and accurate working record of room bookings
- To check meeting rooms before meetings.
- To liaise between FTI facilities, AV, IT, business support services and the catering department on conference booking requirements.
- To email all bookers checking next day booking details, including catering, delivery time, dietaries, room set-ups and AV support details
- To serve as an information source for clients
- To answer MS Teams calls in a polite and professional manner and to the agreed standard
- To complete each shift responsibilities to the highest standard, which include but are not limited to, completing next day booking confirmations, emailing bookers for the following week to obtain details for large events and fine dining, menus, dietaries, room set-ups and AV requirements, adding guests names and guests lists to security for next day arrival
- To report any faults in meeting rooms and reception areas
- To provide after-hours receptionist presence if required, in respect of early starts for clients
- Maintain awareness of health and safety regulations in the building
Carry out any administrative task deemed reasonable by your manager or supervisor
Qualifications Essential skills:
- Well presented, immaculately groomed and in full uniform.

- Ability to work under pressure
- Able to communicate in a calm professional manner
- Excellent telephone manner and interpersonal communication

- Reliable, flexible, and adaptable
- IT Literate in MS Office Suite (word, excel and outlook)
