ASSISTANT MANAGER (CLUBHOUSE OPERATIONS)

Work location: Tessensohn Clubhouse (nearest MRT Farrer Park)

As an Assistant Manager (Clubhouse Operations), you will report to our Director (Clubhouse).

Responsibilities:

• Assist Director (Clubhouse) in the maintaining the operations of the entire Clubhouse in the following areas :

1. Jackpot Room
2. Front Office Reception
3. Tenants Management
4. Ad-hoc Development and upgrading works
5. Swimming pool (outsourced)
6. Security (outsourced)
7. Cleaning (outsourced)
8. Horticulture (outsourced)

• Supervise various groups of staff to ensure daily smooth operations of the Clubhouse and facilities.
• Supervise and monitor works of term contractors.
• Inspect and check the Clubhouse premises.
• Plan and ensure works are carried out as per the maintenance schedule.
• Assist Director (Clubhouse) in preparing monthly reports and annual budget.
• Assist in preparing tender specifications for upgrading projects and co-ordinating with the suppliers and contractors.
• Assist in the recruitment and training of new staff.
• Undertake any other tasks as assigned from time to time.

Requirements:

• Minimum Diploma in Business/Marketing/Facilities Maintenance/Building or with at least 3 years of relevant working experience.
• Minimum 3 years’ experience in managing people a group of staff.
• Able to work independently, resourceful, and self-motivated.
• Excellent leadership, organizational and multi-tasking skills
• A team player with a customer-oriented approach.
• Enjoy working in outdoor environment.

PROGRAMMES EXECUTIVE

As our Programmes Executive, you will report to the Manager, Recreation Programmes & Engagement and Assistant Manager, Programmes. This position involves planning, administering, organising and executing of recreation programs for our members.

Responsibilities:

• To assist in the planning, coordination, organising and execution of all social events, activities and programmes for our Club member.
• To support in the promotion and engagement of a wide diverse range of social programmes to interests the members to sign up for the programme related events and outreach efforts.
• To support in the marketing and promotion strategies to help raise the awareness and participation rate of the programmes.
• Assist in the contributing more new social programmes and event ideas that attracts all demographic.
• To adhere to the Club rules and regulations when organising social programmes and events.
• Work closely with the team and events/programmes partners, instructors and sponsors.
• To assist in all the administrative work of organising social programmes.
• To assist the Club’s members on the inquiries of all social programmes.
• Perform any other duties as assigned by the Manager and Assistant Manager, Programmes.

Requirements:

Admin Executive (Contract)

Contract Period: 2 months

This position is to report to Manager (Corporate Services) and the Assistant Managers and provide support to ensure the smooth operations of the HR/Admin Department.

What you’ll be doing:

• Responsible for department administrative support duties such as AOR, invoice processing to finance, recording of expenses etc.
• Processing daily outgoing mails using of the franking machine, arranging weekly courier service etc.
• To disseminate the incoming mails and despatch to the relevant departments.
• To buy and prepare the refreshment for all meetings.
• To ensure that the Boardroom and Meeting rooms are set-up properly and ready for the meeting.
• To ensure there is enough inventory for the coffee capsule, tea, cups, plates, cutlery, boxes etc.
• Assist the department in organising any Staff Events.
• Responsible for general corporate office administration duties like procurement of office stationery supplies.
• Other general administrative or corporate service duties as assigned by Manager, Corporate Services and Assistant Managers.

ASSISTANT MANAGER, PROGRAMMES

As an Assistant Manager, Programmes, you will report to our Manager, Recreation Programmes & Engagement.

Responsibilities:

1. Assist the Manager in the smooth operations of the Social Department in the following areas:

• Oversee the planning, promotion, execution of the social activities.
• Administration and co-ordination of the social activities.
• Execution of the social activities.
• To ensure the compliance to Club rules regulations and attain KPIs for all social events and activities.
• To evaluate the effectiveness of all social program through participation feedback, attendance and to optimise the resources.
• To forecast the event calendar for all social recreational program and manage the Club’s events microsite.
• To assist monthly reports for Management and Executive Committee.

2. To lead a team of Executives to ensure the followings:

• all activities/events are conducted in compliance with the rules and regulations of the Club.
• All registrations are done properly and confirmation sent.
• Activities are conducted according to the specifications required.

3. To plan and organise mass events for our Members and Public Service Officers.

4. To provide secretariat support for Sub-Committee Meetings (quarterly) and Corporate Services Meetings (rotation basis).

5. Perform any other duties as assigned by the Manager, Recreation Programmes & Engagement.

As a Clubhouse Executive in our Clubhouse, you will report to our Director/Assistant Manager, Clubhouse.

What you’ll be doing:

• Assist the Manager in supporting the daily operations and administrative work of the Clubhouse to ensure the smooth operations of the Clubhouse.
• Liaison for Corporate Events and handle sales of corporate function rooms
• Handling duties of the Events and Front Office

This position involves overseeing the planning, organization, and execution of recreational programs that cater to the diverse interests and needs of our members and Public Service Officers promoting health, wellness, and lifestyle.

Responsibilities:

• To lead the department in organising a diverse of social programmes, events and activities to enhance the overall enjoyment and advantage of owning our Club membership and to increase the membership signup rate.
• Oversee the planning, promotion, execution, coordination and engagement of a wide diverse range of social programmes to interests the members to sign up for the events and activities.
• To develop and organise social events and activities that attract all demographic.
• To ensure the compliance to our Club rules and regulations and attain the KPIs for all social events and activities.
• Implement marketing and promotional strategies to increase the awareness and participation rate for all recreational programmes.
• Develop strong relationship with new and existing events/programmes partners, instructors, sponsors, and participants.
• Evaluates the effectiveness of all social programmes and through participation feedback, attendance, survey, financial analysis and optimise the resources and manpower.
• Continuously focus on improving members satisfaction of all social programmes to create member’s loyalty and deliver a positive event experience, from their sign up to the actual day.
