To participate in the collection, entering, collating and analysing of data for the Intensive Care National Audit Research Centre (ICNARC) and MedICUs data set.

Provide administrative support to the ward based clinical staff.



Contribute to the effective running of the ward by concentrating on tasks which directly support administration systems and procedures.



Provide a reception service on the ward welcoming patients, visitors and staff and dealing with queries both internally and externally to the organisation.



Ensure that the quality of data being managed and processed is of a high standard.

· Monitoring of accuracy of demographic and activity data on the hospital Patient Management System (PAS)

· Assist with the preparation of periodic returns to the Intensive Care National Audit and Research Centre (ICNARC). This includes correcting and validating all data returns, the continuation of data collection of patients being transferred or discharged from the Critical Care Unit and the presentation of said data

· Collect electronic and other information from ICIP (commonly known as CareVue), patient notes and verbal communication, to enable completion of an audit database

· Analyse Data Validation Reports from ICNARC, and update the database as appropriate

· Assist with research data collection

· Ensure the provision of information for regular audit and management reporting

· Contribute to the monitoring of measurable standard of care such as the quarterly direct care audit and the promotion of the friends and family questionnaire

· Assess and collect levels of care for the critical care minimal data set and the healthcare resource groups to support payment by results

· Take phone calls, maintaining confidentiality and referral to correct party

· Maintain and ensure the accuracy and completion of the hospital PAS information system.

· To provide administrative support and cover for other clerical staff as required

Job Overview:

To provide reception, referral, and information to clients in a flexible, respectful, and non-judgemental manner, including referring to others, and answering queries; keeping up-to-date records and files; using IT systems and word-processing as appropriate.

Based at our main site in central Truro, you will join an experienced reception and administrative team providing key support to the clinical team. Experience of working on a busy reception and/or booking team will be advantage, as will experience of related administrative duties such as writing medical correspondence and handling referrals.

Please note an enhanced DBS will be required.

As we continue to expand our digital health technologies across the Trust, we have recognised the importance of keeping patient safety at the forefront of how these are implemented. We are building a new team to lead on Digital Clinical Safety and this administration and team support role will be a key member, working to ensure patient safety continues to remain our top priority.

You do not need to have a clinical background to apply for this post.

What we will need from you, however, is a willingness to learn and be adaptable as the team develops a comprehensive application of digital clinical safety in practice. Full training will be provided for you (both formal and informal), and you will be well supported by the Digital Clinical Safety Manager, as well as Project Managers and Subject Matter Experts too.

It is a permanent role, but there may be the option for us to consider a secondment opportunity if you are an existing member of staff.

The post holder will help ensure that the administration of digital clinical safety is the overarching priority within the Electronic Patient Record (EPR) programme and wider clinical IT projects. Using evidence based and collaborative practice, work with clinical safety practitioners and project leads / teams to identify and complete the associated administration activities and documentation aligned to the project life cycle and gateways.

The Digital Clinical Safety Administration Support Officer role is open to clinical and non-clinical persons and backgrounds, who can demonstrate a willingness to learn, are eager to gain knowledge and develop project and patient safety skills. The role will be supported by the Digital Clinical Safety Manager, Project Managers, Subject Matter Experts (SME) and provided with formal / informal training and coaching to develop and maintain expertise and support clinical safety activities in practice.

To use the hospital computer systems to book appointments for patients with clinicians and other health care professionals using knowledge of Haematology and basic RTT to book patients into the correct appointment slot follow-up or new (based on training and experience). To provide the patient with the most appropriate appointment, having considered their individual needs and circumstances, as well as waiting times and targets. To ensure that on arrival at outpatient clinic, patients are booked in correctly on the appointment systems, including planned and emergency patients. Notifying appropriate staff members of the patients arrival and that any hospital notes in certain areas are passed through to correct clinic nurse. To ensure that Attendances, Outcomes and RTT codes from patients clinic attendance are accurately recorded and patients informed of future appointments if required. Preparation of clinics for next day, ensuring all relevant information is included in the notes, raising a temporary folder where required and is in the format required by the Trust and Health Records policies. To request hospital case notes (where required) from both within the Trust and outside Trusts using PAS. To ensure patient confidentiality is always maintained, in accordance with Trust policy To ensure follow up patients are booked accurately and to be seen by date from the follow up waiting list Admit and discharge patients onto the PAS following set procedures and according to Trust policy.
