Boys’ Town is a charity founded by the Montfort Brothers of St. Gabriel in 1948. Its key services include residential care, fostering service, respite care, youth outreach, adventure therapy and clinical intervention.
Boys’ Town serves both boys and girls, from infants to young adults. It helps children and youth coming from disadvantaged and disengaged families who may have faced hardship due to difficult home situations, financial struggles, abandonment, and abuse. Boys’ Town equips children and youth in need with skills to become socially integrated, responsible, and contributing members of society.
What you will be doing?
To provide Human Resource and administration support to the Human Resource Department and provide quality customer service to both internal and external clients.
Job Responsibilities
Recruitment & Selection
- Assist in recruitment: job postings, pre-screening, phone interviews, shortlisting, coordinating interviews, document verification, interview prep, reference checks, pre-employment medicals, rejection emails.
- Prepare new hire onboarding packs, book induction rooms, send evaluations.
- Arrange, coordinate, and send invites for new hire induction.
- Assist in recruitment strategies like career fairs.
- Update daily hiring and vacancy tracking reports.
- Track and update new hire evaluations monthly.
- Manage voluntary and involuntary terminations, updating monthly reports.
Training & Development
- Manage and update training records.
- Coordinate in-house training: room bookings, attendance sheets.
- Handle training administration: documentation, communication, course applications, liaising with providers, training grants, evaluations.
- Collect data, prepare training evaluation reports for management.
- Support assigned projects: email follow-ups, venue setup, program coordination.
- Track and update the training budget.
- Conduct training as needed.
HR Administration
- Assist in employee engagement and wellbeing programs.
- Update and submit reports as needed.
- Prepare PowerPoint slides for reporting.
- Take minutes when necessary.
- Assist in performance management reviews.
- Track contract renewals and performance appraisals.
- Support corporate governance, audits, compliance, and documentation.
- Generate and track attendance sheets for meetings.
- Support employee welfare: baby hampers, wreaths, etc.
- Handle HR department purchases/requisitions.
- Provide administrative support to the HR Manager/Directors.
- Participate in meetings, committees, and projects as needed.
- Perform other assigned duties.
- Report to and provide feedback to the HR Manager.
- Actively participate in fundraising and other Boys’ Town commitments.
- Collaborate with staff, departments, and components of Boys’ Town.
- Perform additional duties assigned by the Executive Director or representative.
Requirements
- Minimum Diploma in Human Resource Management or equivalent.
- Preferably 1 year of relevant working experience*
- Good understanding of the Employment Act.
- Excellent organizational skills and attention to detail
- Proficient in record keeping (filing/documentation).
- Strong follow-up skills characterized by timeliness, persistence, organization, clear communication, attention to detail, proactiveness, and accountability.
- Good interpersonal and communication skills.
- Initiative and ability to work well in a team.
- Customer service oriented.
- Ability to work quickly and handle pressure effectively.
- Proficient in MS Office (Outlook, Excel, Word, PowerPoint); knowledge in HRMS is a plus.
