Job Description:

Processes Human Resources changes in an accurate and timely basis to meet processing deadlines. Review information, documents, and processes for accuracy, completeness, and policy compliance. Works with employees, managers, regional centers and customers to provide routine Human Resources information including forms, policies, reports, correspondence and other related data. Serves as a primary resource to internal and external customers regarding a variety of customer service issues promptly and professionally. Follow-up as needed to resolve questions. Provides a variety of administrative, computer, clerical, and supply functions necessary for the operation and support of Human Resources. Works as part of a team and frequently acts as a liaison between department staff and internal/external customers (communications, scheduling appointments, directing callers, maintaining department records/files, etc.) Assists Compensation, Payroll, and Benefits in HR Administration. Administers Family Medical Leave and the Tuition Investment Program.

Major Responsibilities:
1. Process on-boarding/new hire paperwork and personnel changes such as status changes, supervisor changes, requisitions, title changes, and terminations in an accurate and timely basis to meet all deadlines for payroll processing. Review information, documents, and processes for accuracy, completeness, and policy compliance. Follow-up as needed to resolve questions. Maintain accurate employee data in Human Resources Information Systems (HRIS).
2. Works closely with various regional centers to gain a thorough understanding of their practices and policies to ensure regional center information is accurately entered into HRIS system.
3. Review and administer Family Medical Leave Act (FMLA) requests, medical certifications, and track hours and eligibility. Enter FMLA requests in Kronos and FMLA tracking software. Researches FMLA law and reviews reports to bring issues of non-compliance and policy administration questions to appropriate HROM and FMLA department leader. Continues ongoing research to maintain understanding of how FMLA impacts multiple states.
4. Review and administer Tuition Investment Program eligibility, requirements, and request payments. Follow-up with customer as needed to request required repayment of funds when applicable.
5. Assists customers (managers, employees, medical professionals, and external entities) by phone, email, or in person to resolve any FMLA or other general Human Resources related issue, to schedule appointments; to coordinate services; or to address other needs. Serves as a centralized location for all Human Resources information. Helps customer by providing information and the use of appropriate Human Resources processes and policies. Responds to required government or agency inquiries related to unemployment or employment verifications.
6. Provides data entry, maintenance, tracking, and auditing work as needed to Payroll/Benefits/Compensation departments to ensure timely and accurate processing of payroll and benefit enrollment through Kronos and Lawson software. Works with managers on resolution of issues. Audits electronic Human Resources processes. Maintain, monitor, and audit other Human Resources programs, as needed.
7. Under supervision from the compensation department leader, gathers compensation data from spreadsheets, recommends job matches, and completes salary market surveys. Updates and maintains survey spreadsheets.
8. Assists Payroll, Benefits, and Compensation staff with various projects including, large mailings, year end benefit enrollment, quarterly orientations, internal report distribution, and preparation of retirement separation notices.
9. Performs administrative and other job-related responsibilities as requested.

Essential duties for the Contract Administrator include:

PRIMARY DUTIES & RESPONSIBILITIES

Hiring salary for this position is $24.69 - $30.86 hourly.

This position will provide general administrative support and coordination of multiple Human Resource functions such as learning and development, benefits, compensation, recruiting as well as support with employee events and additional special projects. Work will be guided by either a supervisor or lead role.

• Administer the Tuition Assistance Program, including tracking, updating communication materials, keeping accurate records, providing correspondence to applicants and verifying eligible payments

• Administer the Continuing Education Program, including updating all records and program materials, maintaining positive relationships with school contacts, organizing Career Fairs and advertising

• Responsible for processing Years of Service Awards and recognition gifts. Plans and coordinates the annual Years of Service Recognition Banquet

• Coordinates, schedules and assists in employee orientation and onboarding processes

• Plans, coordinates and implements employee events, to include HR specific events and city-wide employee events

• Provides backup coverage for the front desk: greets and assists customers; directs questions and phone calls to appropriate divisions; advise on processes and policies

The Child Support Technician will:

• Conduct intake interviews to assist clients with child support applications, gather information and documentation, and answer questions related to the child support process.

The Family and Adult Assistance Division (FAAD) is seeking a driven and passionate individual with a leadership mindset to become a Lead Eligibility Technician for the Call Center Lane. The Lead Eligibility Technician will encourage, motivate and assist various Eligibility Technicians and Customer Service Agents in accomplishing their department goals across a wide variety of public assistance programs which will include but are not limited to: TANF, adult financial programs, food stamps.

The Lead Eligibility Technician will be heavily involved in all case reviews with these teams and will perform permanently assigned lead work duties over Eligibility Technicians and Customer Service Agents including providing on-the-job training and technical support, monitoring caseloads for accuracy in the application of program rules and regulations and identifying areas for process improvement in order to support the case team.

You will also fill in as needed when the Lane Supervisor is absent or unable to assist the team.

Within the first six months of this position, we anticipate that the selected candidate will have attended and successfully completed all program training offered. The Lead Eligibility Technician will provide side-by-side training and support for Eligibility Technicians and Customer Service Agents and work complicated program cases to help the teams meet productivity goals of 95% timeliness and quality goals of 95% accuracy.

The Call Center Team Lead Eligibility Technician:

• Performs lead work duties over Eligibility Technicians and Customer Service Agents, maintains a thorough and updated knowledge of all public assistance programs, interprets and explains rules and regulations to staff, and provides assistance with managing team workloads.

• Provides on-the-job training, mentors new and established employees, and collaborates with the training unit on course content, materials, and claims review.

• Monitors work activity on caseloads to ensure that cases are clearly and thoroughly documented, reviews and analyzes case records and reports for completeness and accuracy, identifies compliance and production problems, and recommends and implements process improvements.

• Assists Eligibility Technicians with processing and determinations of difficult and/or complex cases and acts as an arbitrator when problems occur between applicants/clients and employees.

• Reviews unit procedures, assists in the development or revision of needed procedures, and troubleshoots system errors within the state computer system.

• Maintains current knowledge of the Colorado Benefits Management System, programs, policies, and community resources and adjusts work processes to ensure accurate provision of benefits.

• Provides work instruction and assists employees with difficult and/or unusual assignments.

• Assigns and distributes work, reviews work for accuracy and completeness, and returns assignments with recommendations for proper completion.

• Resolves problems encountered during daily operations and determines appropriate solutions.

• Contributes to the development of the performance enhancement plan, documents performance, provides performance feedback, and furnishes information for the formal performance evaluation.

• Responds orally to informal grievances and relays information to the supervisor.

• Documents situations which may be cause for disciplinary action and provides this information to the supervisor.

About You

• Have 2 years' experience using the Colorado Benefits Management System (CBMS)

• Bilingual (preferred but not required)

• Associate Degree Preferred

Your time here will look something like this...

The HRMSA program begins in June with a 1-2 day training program, providing Summer Associates with an overview of Citi, a technology training session, and an introduction to Citi's Human Resources organization. The Summer Program will provide Summer Associates with Senior Mentors and Junior Mentors, networking opportunities and Senior Speaker Events where Citi's senior HR officers host discussions and answer questions about their careers and HR functions. The Summer Associates will receive real-world work, and will be expected to add value to their teams during the 10 weeks. In addition to their daily work, the Summer Associates will also have the opportunity to network with other Citi interns, current Program participants and alumni, and other HR professionals. The program concludes with the Summer Associates presenting their accomplishments and lessons learned to the Senior HR Management team. Top performing Summer Associates will be considered for the full time Human Resources Management Associate Program.

You are pursuing an MBA or Master's degree in any discipline with a graduation date between December 2024 and June 2025 and have at least 2-3 years of full-time work experience after your undergraduate degree (preferred disciplines include Labor and Employment/Industrial Relations, Human Resource Management, Organizational Behavior/Performance, Organizational Psychology, Leadership and Management).
