Main tasks and responsibilities:

The tasks and responsibilities required for these positions are subject to variation between Ministry Areas, dependent on the individual MA needs and current level of volunteer support.

The list below details all tasks that may be expected for a successful candidate to assist with. The successful candidate will not be required to assist with all tasks listed, specific responsibilities will be agreed with the MA team at the time of appointment.

General Administration:
• Act as the central point of contact for the Ministry Area.
• Act as first point of contact, handling all forms of enquiry (e.g. post, phone, email), actioning responses as appropriate.
• Process incoming and outgoing email and paper correspondence.
• MA diary management, and meeting arrangements.
• Administrative support for all clergy for matters relating to baptisms, funerals, weddings (e.g. enquiries, communications, bookings, registers, certificates, materials & payments).
• Supporting the meetings of the Ministry Area Council (MAC) and the Ministry Area Executive (MAE) (e.g. arranging meetings, preparing and distributing agenda and papers, minuting taking, and tracking actions).
• Develop, maintain and manage paper and digital filing and record keeping in line with current Data Protection legislation (e.g. electoral roll, registers, records of fees).
• Ordering of supplies for church ministry and office use (e.g. communion supplies and stationery).
• Maintaining a presentable, welcoming, and safe working environment.

Governance, Process and Reporting:
• Participate in meetings of the Ministry Area Administrators, sharing good practice, processes and resources as directed by the Ministry Area Admin & Resources Supervisor.
• Management of statutory documentation including registers, certificates, and applications.
• Regular submissions on behalf of the Ministry Area, e.g. Annual Report and Trustee contact data to Charities Commission, Annual Returns to the Church in Wales and Diocese.
• Supporting the Ministry Area to comply with the activities of the Annual Vestry Meeting, including meeting arrangements and paperwork for the appointment of Officers and Council members (e.g. Trustee and Churchwarden declarations).
• Assist the MA Safeguarding Officer with administrative duties, (e.g. maintaining the safeguarding database (My Church People), extrapolating database information for review, booking safeguarding training, co-ordinating DBS applications and acting as an identification verifier.
• Supporting the Ministry Area to participate in annual Diocesan elections.
• Assist with the administration and data input to the membership and attendance database.
• Data collection/input for copyright licences.

Finance (as agreed with the Ministry Area Treasurer):
• Management of petty cash system.
• Administrative support (e.g. data entry to Myfund accounting, production of the annual report, MA insurance contract, copyright licence).

Building Management:
• Assist in the maintenance of equipment for the office and its church building (e.g. photocopier, piano/organ Tuner & Inspections, Lift Inspection, Alarm Services, Fire Services, boiler inspections and Quinquennial Inspections).
• Management of regular and ad-hoc lettings of the building, including letting contracts and fees.
• Oversee the cleaning contract, advising appropriate persons of any issues.
• Support and encourage volunteers working in the church premises and gardens.
• Administer key control and asset register procedures.
• Maintain an awareness of the health & safety and insurance requirements of the building.
• Support the building health and safety officer in the upkeep of the building (e.g. scheduling of works).

Communication:
• Update and development of the Ministry Area website and social media accounts.
• Co-ordinate and maintain regular lines of communication with Church Committees across the Ministry Area.
• Produce and distribute digital and paper publications on behalf of the Ministry Area.
• Ensuring up-to-date contact details are maintained and updated to the Diocesan Office.
• Enabling the two-way communication between the Ministry Area and staff of the Diocesan Office, including promotion/notification of new initiatives, resources available and constructive feedback.
• Ensuring that internal and external noticeboards are kept tidy and up to date.

Any other duties as may reasonably be required of the role at the discretion of the Line Manager.

Role Summary

G6 FBPs typically have responsibility across a specific part of the Department, for financial advice, planning and reporting. They develop a good understanding of the areas of the business they support and build and maintain strong relationships at a senior level in their areas of responsibility, across the department, and beyond. They will bring insight and influence to bear through effective advice, presentation, and communication, enabling them to ensure finance is considered in commercial and operational decisions at all key stages.

Role Responsibilities

Stakeholder Engagement – develop and maintain strong partnerships with the Area Executive Directors and their teams. Help improve financial awareness across the business and provide accurate and credible advice on financial management and wider governance issues. Actively contribute at business meetings and be proactive in looking for value for money and efficiency.
Leadership – lead a team of twenty staff. Establish strong communications across the team and support and inspire staff to fulfil their potential as well as to deliver a highly effective service. Work collaboratively with the other Senior Area FBP Leads. As a senior member of the wider finance team, contribute to the ongoing development of the function, keeping an awareness of cross government financial management initiatives.
Financial management – co-ordinate your business area’s annual financial planning activity and provide information and advice to support effective financial control in year. Present and explain financial information clearly and offer advice to inform decision making. Understand the cost drivers of the business and carry out analysis of information to improve efficiency and understanding.
Critical friend to the business – you will feel confident to challenge business colleagues on their spending plans and keep a focus on outcomes and business priorities. Give advice to support decision making, encouraging options analysis and appropriate governance. Use your insight to add value.

The Role:

You’re probably a match if

• You have 2+ years of experience in Graphic Design, User Interface (UI) and User Experience (UX) Design.
• You have a portfolio demonstrating your visual design skills and design thinking experience where you have previously contributed to shipping UX/UI design for digital products.
• You have exceptional UI design skills and love to create intuitive visual designs that elevate our product experience and digital brand. You also have an understanding of web standards, user experience, and a passion for simplicity.
• You have a passion for Graphic Design and love creating print collateral such as publications, promotional materials, and user manuals.
• You have experience designing illustrations and animations to bring your visual design to life and add delight to your user experiences.
• You value working proactively, independently and transparently and are open to educating others.

ArchiPro is essentially a hub where professionals like architects, builders, and suppliers, as well as various brands, can display their work and offerings. It serves as a connection point for individuals who are starting their own construction projects. Our goal in the next 5-7 years is to become the default building platform globally. You will play a pivotal and instrumental role in unlocking the potential that lies ahead for ArchiPro.

Your contributions will extend beyond the traditional roles of a CFO or Head of Finance, you will be responsible for helping architect ArchiPro's future and navigating the complexities of scaling from a start-up/scale-up to a global player.

We're not going to bore you with a list of "Key Responsibilities" or "Job Requirements" as with your depth of commercial acumen and experience you'll already know what's required when working for a start-up scale-up. This will include you being responsible for driving growth rather than just maintaining the current state. You will need to bring a wealth of experience and expertise in building and scaling businesses while carefully navigating and orchestrating the necessary changes and transformations required to propel ArchiPro to new heights.

You will be a right-hand person to our CEO, meaning you will want to own your role as if you were a Founder of our business.

It is a must that you already have a good track record working with different start-ups scale-up platforms in the following areas: Marketplace, SaaS, and Subscription. You will have a deep understanding of VC world, raising funding, helping grow and scale companies beyond 150+ teams globally, and ideally have been part of the Capital Raise Series B.
