Legal Administrative Assistant
Location: Manchester City Centre
Salary: £12 per hour (weekly pay)
Contract: Temporary until Jan 2025
Hours of working: 37.5 hours per week, Monday to Friday, 9:00am to 5:00pm
We are seeking a detail-oriented and highly organised Legal Administrative Assistant to support our clients legal team. The ideal candidate will assist in all aspects of legal admin duties. ensuring the efficient operation of the legal department. This role requires excellent communication skills, the ability to handle sensitive information confidentially, and a strong understanding of legal procedures and terminology.
Responsibilities:
Administrative Support
- Provide comprehensive administrative support
- Manage and maintain legal files, both physical and electronic, ensuring all documents are organised and accessible.
- Prepare, edit, and format legal documents
- Schedule appointments, meetings, ensuring all parties are informed and prepared.
Document Management
- Draft routine legal documents
- Handle the filing and organisation of legal documents and ensure compliance with legal requirements.
- Assist in the preparation of case files, including gathering and organising necessary documents
Communication
- Act as a liaison between the legal department and clients, court personnel, and other external parties.
- Answer and direct phone calls, emails, and other correspondence related to legal matters.
- Coordinate and manage communication
Research and Information Gathering
- Conduct basic legal research using online resources and legal databases.
- Gather and compile information from various sources as requested
Billing and Invoicing
- Assist with the preparation and tracking of billing statements and invoices.
- Coordinate with the finance department to ensure timely processing of payments related to legal matters.
Compliance and Record Keeping
- Maintain and update legal department databases, ensuring accurate records of all legal matters.
- Ensure compliance with all legal administrative procedures, including document retention and disposal policies.
Miscellaneous
- Assist with special projects and perform other related duties as assigned by the legal team.
- Keep up to date with changes in laws and regulations relevant to the company's operations.
What we need from you:
High school diploma or equivalent required; an Associate's or bachelor's degree in legal studies, Business Administration, or a related field is preferred.
- Experience as a Legal Administrative Assistant or in a similar role within a legal environment.
- Experience with legal document management systems and legal research tools is a plus.
- Strong understanding of legal terminology and procedures.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- High level of attention to detail and accuracy.
- Ability to handle confidential and sensitive information with discretion.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
